Human Resources Assistant I
This position is responsible for assisting and supporting the Administrative Coordinator II (40272). Responsibilities may include payroll initiation, record keeping, and other human resource functions for the Department of Housing and Residence Life.
This position/classification may be moved at management's discretion within the SDES division to a commensurate level position as determined by the Vice President of Student Development and Enrollment or his/her designee.
Assist in initiating bi-weekly payroll for the department:
Print, collate, and distribute time sheets to all communities for distribution to staff (approx. 500-550 per pay period)
Resolve time sheet discrepancies in hours reported or requests investigation and resolution of discrepancies by supervisory staff
Works with departmental payroll authorizers to answer inquiries and resolve discrepancies
Collect, collate and input time-sheet into the PeopleSoft payroll module for all departmental staff (approx. 500- 550) per pay period as needed
Support and coordinate administration of personnel records for the department:
Meet with all new OPS hires (approx. 100 per semester) for the department to complete hire paperwork and coordinate initiations of background checks for all Housing staff
Research and prepare time sensitive retroactive payroll requests to UCF Payroll
Maintain digital archive of all ePAFs, performance appraisals, commendations, and sanctions issued to departmental staff
Maintain digital archives of processing and authorization reports at the conclusion of the pay period
Input hire, job/record change, and termination ePAFs for all OPS employees
Input contract graduate assistant records as need
Meet with all new OPS hires (90-100 per semester) for the department to complete hire paperwork and coordinate initiations of background checks for all OPS Housing staff
Processes job change ePAFs for all OPS employees when there is a change in supervisor, pay rate, community, or position title
Process all ePAF terminations for OPS staff as needed
Research and process time sensitive retroactive payroll requests to UCF Payroll
Maintain digital archive of all OPS ePAFs and sanctions issued to OPS staff
Investigate and respond to questions from departmental staff regarding payroll and employment records, issues, or redirects to appropriate responder:
Changes in withholding amounts or rates
Changes in compensation amounts or rates
Changes in graduate assistant status
Requests for annual performance appraisals, position descriptions, employment files
Requests for employment verification
Assist with general office administration and provide direct support to the Administrative Coordinator ll (Human Resources Coordinator)
Other duties as assigned by supervisor

Type of Appointment:
High School Diploma or Equivalent and 0+ years of relevant experience.
Additional Minimum Requirements:
Preferred candidate will have an Associate's degree and 5+ years of appropriate experience.
Preferred candidate will have Higher Education experience.
Selected candidate should have human resources administration experience in payroll processing, record and data management, training and development, and customer service.
A strong working knowledge of PeopleSoft, Microsoft Teams, Excel, Word, and Outlook experience is necessary.
Selected candidate should possess effective communication skills both orally and written to communicate and interact across campus with various individuals and departments, as well as possessing strong organizational and interpersonal/written/verbal skills, be a self-starter, self-motivated, detail oriented with a high degree of accuracy, and easily adapt to various situations.
