The Stantec Construction Group, providing industry-leading capital construction services, is currently seeking qualified applicants for a Procurement Coordinator position on our Aloha, Oregon site. The successful candidate will become a part of a dynamic Procurement team. They will support SPGC Procurement and must work cohesively with other team members, all levels of management including internal clients and Subcontractor personnel.
As part of a team, the successful candidate will support all SPGC Procurement document control, administrative, and management reporting processes. They will coordinate, administer and maintain the SPGC Procurement group Subcontractor/Supplier On-Boarding process by preparing documents for Subcontractor/Supplier On-boarding, tracking and documenting subcontractor compliance with the on-boarding process, receiving and evaluating documentation received from Subcontractors, maintaining on-boarding centralized files, and assembling and distributing master agreements. In addition to the Subcontractor on-boarding process, this candidate will receive and audit for compliance, requests for change orders and work order; maintain departmental work order/change order logs, files and documentation and issue work orders and change orders to Subcontractors. Finally, the candidate will be responsible for tracking and monitoring subcontractor insurance compliance. This is a fast paced position that requires tremendous attention to detail and complete ownership of work assigned.
Support SPGC Procurement by successfully completing all assigned duties
Issue and Administer Change Orders and Work Orders
Monitor and Report on Subcontractor Insurance Compliance
Support the Subcontractor On-Boarding Process
Monitor and record receipt of documents from subcontractors
Generate all required Procurement management reports
Organize, issue, receive, and distribute procurement documents as needed
Organize and maintain centralized Procurement files & Prolog records
Manage DocuSign of all work orders, change orders, and master agreement and ensure all files are fully executed
Keep procurement logs and folders up to date
Audit Procurement files for missing documentation and work to remedy by bringing files/folder into compliance
Review current Procurement documentation for any error, suggest improvements and apply approved document changes/corrections as directed
Manage and expedite multiple priorities and special requests
Attend weekly staff and safety meetings
Provide weekly progress reports
Perform additional administrative assignments as requested
Maintain the Master Agreement Log
Support Administration of the Subcontractor Status and Supplier/Equipment/Rental/LAA Dashboards
Provide Management Reports upon request to include, but not be limited to Diversity reporting
- Minimum of 2 of years of experience in administrative roles including exposure to purchasing and document control
- 2 year degree or equivalent combination of experience, skills and training
- Advanced experience, skills and accuracy in MS Office (Outlook, Word & Excel)
- Able to learn how to use internal Procurement programs and databases
- Must possess solid organizational skills, exceptional attention to detail with a strong and professional work ethic
- Excellent verbal and written communication skills in English
- Demonstrated ability to meet deadlines

Physical Environment – Work at Client site in Hillsboro and Aloha. Open office environment subjected to loud noise, ventilated cold air, you may not have a cube with four walls, must be comfortable sitting with your back exposed.
Sensory Attention – Fast paced environment that you must be able to keep up with. Ability to focus on the task at hand with frequent interruptions is extremely important. Ability to perform in front of a computer for much of the day.
Mental Stress – There is routine pressure from various sources to achieve results and deadlines while dealing with frequent interruptions. Occasional extra pressure can be experienced as a result of unforeseen events and decisions creating conflict.
