Position Summary:
The Administrative Assistant is responsible for providing general administrative and clerical support to the organization's headquarters (Support Center), as well as assisting the Executive Team with specific tasks and projects. The person in this role embodies professionalism, discretion, confidentiality, and collaboration.

Key Functions & Responsibilities:
EXECUTIVE STAFF SUPPORT

Provide general administrative and clerical support as needed including, but not limited to, making copies, mailing or faxing documents, preparing information packets for meetings, taking minutes, creating charts, formatting documents, summarizing information and calling vendors.
Manage/Maintain electronic calendar(s) and process meeting requests and conference calls
Route incoming calls to appropriate Executive Staff extension's or voice mailbox
Reconcile credit card expenditures and complete mileage reimbursement forms monthly
Organize conference and travel arrangements
Maintain folders and filing systems
Coordinate and execute meeting logistics (calendar invites, catering, set up & clean up)
SUPPORT CENTER OFFICE SUPPORT

Open, sort, and distribute in-coming mail daily
Arrange for FedEx pick-up or other outgoing mail
Open and stamp accounts payable invoices
Open and log in checks daily
Maintain copier, postage machine, fax supplies, printer supplies & copy room
Coordinate and order office and kitchen supplies and maintain inventory for the Support Center
Manage meeting room reservations
Set up and manage global electronic calendar reminders
Program electronic key cards for new Support Center staff and deactivate cards when employees leave
Assist Senior Leadership team in specific projects, tasks, and initiatives as assigned by supervisor
Serve as reception area back up
Other duties as assigned

Minimum Qualifications:
BA/BS Degree
Ability to work in a fast-paced, multiple task environment providing support to multiple team members
Highly organized, with exceptional attention to detail
Outstanding interpersonal skills and telephone manner
Proficient in Microsoft Office 365
High level of computer literacy
Strong communication, listening, interpersonal, oral and written communication skills
Positive attitude and desire to learn
