Schedule: Monday thru Friday

Position Summary: Engages daily in direct contact with administrators, students, parents/guardians, community members, and instructional staff in a positive and professional manner. Utilizes computer software and phone systems, and handles daily work pressures requiring constant concentration to a high volume of clerical work which must be completed within a limited period of time with constant interruptions. Strong communication, interpersonal, task prioritizing, and organizational skills required.

Major Responsibilities:

  • Maintenance of confidential student records
  • Direct contact with students, parents/guardians, and instructional staff at a school site
  • Responsible for implementing and maintaining all office and school recordkeeping systems
  • Maintains a comprehensive web-based student database
  • Develops and tracks records and reports daily attendance, and test scores
  • Uses electronic filing systems which allow for efficient collection, retention, and retrieval of information; completes forms, rosters and other related forms; creates and maintains student files
  • Prepares, creates, and composes letters, reports, bulletins, and other documents for the school or instructional programs; answers routine correspondence for the administrator; prepares documents from rough draft, notes, recordings, or oral instructions; prepares reports from confidential records
  • Operates computer and standard office equipment; may provide technical support to staff.
  • Acts as liaison between the school site and the general public by researching and conveying information concerning rules, regulations, policies, and laws
  • Greets and directs visitors; addresses standard inquiries by letter, phone, e-mail, fax or personal contact
  • Maintains internal communication system insuring instructional, and support personnel are kept informed of needed information
  • Coordinates the transfer of information between site/program and outside agencies and districts
  • Interacts with and assists students and parents/guardians by explaining and enforcing school site requirements
  • Communicates as necessary with supervisor
  • Maintains confidentiality of records
  • Ensures that appropriate calendars of activities are maintained for the school including, Individualized Education Program (IEP) meetings, school visitors, and other meetings
  • Assists in the process of registering new students
  • Administrator and other staff in planning and preparing for staff meetings
  • Assists in the development of office procedures and insures appropriate security and safety methods are employed within the office
  • Performs other related duties as assigned

Knowledge Skills and Abilities:

  • BA / BS degree in Communication/Office Technology, or related field. Equivalent certifications/training/experience will be considered in lieu of the BA / BS degree
  • Proficiency utilizing computers and related technology including proficiency in Microsoft Office Suite, Outlook, Google Docs, and the internet for work-related research
  • Knowledge of office management systems and procedures
  • Proven experience in an administrative support role in a fast paced environment
  • Ability to handle confidential and sensitive information with a high degree of professionalism and tact
  • Exceptional verbal and written communication skills, ability to express relevant ideas that are accurate and timely
  • Excellent attendance, punctuality, time management and flexibility are essential.
  • Ability to remain calm under pressure and maintain neutrality in controversial situations.

Job Type: Full-time

Salary: $19.23 /hour
