The Events Marketing Coordinator is a 40-hour a week position based in the CISCRP Boston, MA office. This position reports to the Senior Manager of Development & Community Engagement.

The qualified candidate is responsible for managing a variety of responsibilities, including:

PROMOTION & OUTREACH

  • Event marketing and collateral development for all educational events, such as AWARE for All, Medical Heroes Appreciation Events, and Amplifying the Patient Voice: Roundtable Discussions
  • Graphic design for company-wide projects
  • Work with Marketing team to develop marketing plans for each AWARE and 5K event
  • Place paid advertisements
  • Manage and track event marketing budget
  • Manage connections and outreach efforts with planning team members and local partners, as well as their company marketing, communications and PR groups
  • Manage outreach and media sponsors
  • Update Marketing plan to track registration count and effective marketing outlets
  • Present outreach tracking and most effective methods for registrations during and post-event to internal, planning, and community partner teams
  • Communicate with registrants through reminders and follow-up emails
  • Develop and deploy all event-related and sponsorship marketing (and reminders) via CISCRP’s social media, website, and email channels

SOLICIT IN-KIND & FINANCIAL SPONSORSHIP

  • Organize and solicit in-kind vendor, media donations, and financial sponsorships for each event
  • Ensure sponsors are receiving all benefits promised (logo on website, etc.)
  • Reach out to prospective local sponsors for financial support for each event

EVENT MANAGEMENT

  • Whenever needed, assist with logistics for AWARE and 5K events
  • Prepare and produce outdoor/indoor signage and material shipments, etc.
  • Set-up and maintain registration pages
  • Monitor and track attendance numbers, program metrics and attendee evaluations in order to analyze the data and improve upon future programs
  • Distribute and create event materials, such as evaluations, promotional toolkits, handbooks, postcards, flyers, certificates, nametags, etc.
  • Recruit and manage volunteers and exhibitors, when applicable
  • Manage collaborations with health communications vendors assisting CISCRP on outreach campaigns
  • Coordinate community partner & sponsor exhibits
  • Direct exhibitors, registration, photography, and videography at each event
  • Coordinate the shipping, display, return and storage of all CISCRP materials supporting AWARE and 5K events
  • Track and send out reminders to the planning and community partner teams to increase registration and support

  • Must be comfortable meeting demands of assignments with quick turnarounds
  • Customer service-oriented, adaptable, resilient, and able to work well under pressure of impending deadlines
  • High attention to detail, quality and control
  • Team player

Qualifications Required

  • BA or BS degree or equivalent
  • Skilled in Microsoft applications software (Word, PowerPoint, Excel, Outlook)
  • Proficient in Adobe Cloud (InDesign, Illustrator, Photoshop, Lightroom) and Constant Contact
  • Excellent verbal and written communication skills and strong presentation skills
  • Detail-oriented, adaptable, organized, and demonstrated ability to successfully manage multiple projects and tasks
  • Must be able and willing to travel throughout assigned geographic areas and to work evenings, early mornings, and weekends as necessary
