Job Description Summary
The Executive Assistant supports members of the Senior Leadership Team (SLT) by handling diverse, advanced and confidential administrative duties. Relieves leadership of administrative details; gathers, compiles and reports information relevant to/for the executive. Reads, screens, refers and responds to incoming mail and phone calls ensuring responses are gathered and summarized. Coordinates schedules for senior leaders. May act as a liaison to outside groups coordinating events where the executive is a chair, director or committee member. Communicates with executives and management to gather/convey relevant information. Must use considerable tact, diplomacy and judgement.

Performs diverse, advance and confidential administrative support functions including managing calendars, composing/sending written correspondences, developing PowerPoint slides and synthesizing written material for multiple executives.
Relieves executives of administrative details including booking travel, submitting expense reports, compiling reports and developing meeting agenda.
May manage a number of different objectives, projects and activities at one time.
Communicates with executives to gather or convey relevant information.
Anticipates the needs of multiple executives and acts accordingly.
Prioritizes conflicting needs; handles matters expeditiously, proactively and follows-through on projects to successful completion, often with deadline pressures.
Provides general administrative support to the executives, including responding to phone inquiries, serving as the liaison and primary contact for meetings and events. Proactively manages calendars as well as manage emails to prioritize meetings.
Proactively communicates with teams to develop agendas for core meetings. Attends certain meetings to take notes and ensure follow-ups are achieved.
Manage all facets of executive meetings and/or company-wide meetings including development of agendas, reservations, food and beverage options, and other items as needed. Effectively manage expenses.
Works on special projects as needed, prepares and disseminates reports and information.
Flexible with hours based on business needs.
Minimum of 5 years in an Executive Assistant capacity.
Comfortable working in a fast-paced environment with proven track record of successfully handling multiple priorities as once.
Excellent communication skills and the ability to perform administrative tasks.
Strong attention to detail is a must.
Ability to work confidently in Microsoft Office applications.
Bachelor’s degree preferred.
