Salary Range: $3103 - $5454/Monthly
Work Schedule: Full–Time temporary, Monday - Friday, 8:00 a.m. - 5:00 p.m.; non-exempt classification. Temporary position expires on/before one year from date of hire; may be extended.
Essential Functions: Under the general direction of the Associate Vice President for Human Resources Management, the incumbent performs various administrative support functions associated with the maintenance of HR data from time of appointment through separation.
Workforce Planning - reviews applicants’ experience and/or education, ensuring minimum qualifications are met for the specific position; interfaces with all areas on campus, explaining employment procedures and guidelines; ensures that departments follow the policies and procedures pertaining to the employment program; enters human resources transactions into PeopleSoft, such as new hires, volunteer appointments, student appointments and special consultant transactions, transfers, time base changes, extensions, etc., which requires extensive detailed research; responds to a variety of employment inquiries from employees and applicants, consulting and advising on transfer, promotional or hiring procedures; qualifies and interviews applicants selected for clerical, technical and professional positions; and participates in testing and validating processes as needed.
Faculty Affairs - reviews the work of the colleges, ensuring the correct record action/reason and position number are accurate before approving the entries and running the necessary approval processes; contacts and follows up with departments, colleges or academic affairs as needed to ensure employment transaction forms and PeopleSoft entries are consistent and correct; assists with the maintenance of contract entitlements, RTP process, FERP, sabbatical tracking and other faculty leave programs, developing and maintaining lists, and providing reports as needed; reviews faculty and staff volunteer appointment forms and notifying appropriate personnel when discrepancies exist, requesting parking as needed; and participates in testing and validating processes as needed.
Required Qualifications & Experience: Equivalent to six months of experience which has provided the applicant with exposure to routine administrative staff procedures such as research and analysis, personnel administration, budget preparation or program management and education equivalent to graduation from an accredited four-year college or university. Additional qualifying experience which has demonstrated that the applicant has acquired and successfully applied the knowledge and abilities shown below may be substituted for the required education on a year-for-year basis. The incumbent must have demonstrated competence of Microsoft Word, Excel, Access and Outlook. Demonstrated experience in the use of PeopleSoft HR. Must possess strong written and oral communication skills; excellent organization skills; strong attention to detail with the ability to take initiative and maintain ownership of projects; and effective customer service skills. Working knowledge of the methods and problems of organizations and management. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.
Desired Qualifications: Experience in processing employment transactions into PeopleSoft; working knowledge of entitlements, RTP process, FERP and other faculty related processes; knowledge of employment eligibility verification; experience in a University HRM department; and experience working with union contracts and/or in a union environment.
