Associate’s degree in accounting, office occupations, business technology or a related field.
Three (3) years of administrative support experience, preferably in Human Resources or Payroll. Must have effective computer skills, oral and written communication skills, and the ability to establish and maintain effective working relationships and advanced knowledge and work experience using the Microsoft Office Suite.
The Payroll Coordinator serves all CBC sites, coordinating the inputting of all time necessary for payroll, etc., and ensuring that payroll is processed in a timely fashion, meeting established deadlines.
Ensures that all employee information is entered into the payroll system accurately (address, tax information, salary, account number, deduction information, and any other information needed) to complete employee’s payroll.
Works closely with Human Resources staff to ensure proper handling of new hires, time sheets, etc.
Calculates all employee time sheets/time cards, and memos. Input all time from time sheets/time cards, memos, etc. to ensure payroll is complete and accurate for each payroll period.
Maintain close working relationship with supervisor to ensure that overtime and comp time worked are appropriate and have received prior approval
Processes all direct deposits and ensure employees have access to their payroll stubs and other compensation through the Portal’s Web Advisor.
Ensures necessary information for employees to view their payroll on college website. Inputs employee information into the TRS payroll system so that the information can be pulled out and sent to TRS at the end of every month. Work closely with computer programmer and other ERS/Benefits personnel.
Processes and submits benefit and deduction payments such as FIT/Medicare, Child Support, and ORP/TDA and Part-Time Retirement companies, TRS and ERS and to The Texas Comptroller of Public Accounts for the college's share of ORP payment. Work closely with Business Analyst and Grants Accountant.
Collaborates with the Instructional Developments and the Business office to ensure that faculty load has been accurately calculated and follows within Board Policies.
Maintains leave balances by processing employee leave reports and accruing leave on a monthly basis and fulfilling subsequent reporting requirements.
Provides payroll reports and prepare spreadsheets for various CBC administrators as needed.
Assist employees with payroll issues and/or questions.
Assists in records retention of payroll records as mandated by the Texas State Library Records and the retention polices.
Provides pertinent information for the CBM008 report due twice a year.
Process various deductions and wage garnishments requested by various federal and state agencies.
Processes end of month, end of quarter and end of fiscal year and end of calendar year reports including TRS/ORP, TSA, etc.
Perform any other duties as assigned.
Will participate in Quality Enhancement Plan (QEP), Cougar Smart Start.
Collaborate in the development and successful submission of the SACSCOC 5th year interim report.
May require occasional travel to all CBC sites and to conferences.
Work is generally performed in an office setting with frequent interruptions and changes in the workflow/volume. May require some outdoor work for CBC events.
