The University of Utah Health Sciences campus (HSC) is seeking applications for a Space Data Manager/Application Owner for the Senior Vice-President – Health Sciences, Planning Office (SVPHS-PO). This position is a part of the HSC Planning team, which provides planning services and the strategic deployment of space that guide campus development. This is a full-time, permanent staff position.

This position is responsible for the administration of the Health Science campus’ ARCHIBUS software system. [Currently encompassing space management, move management, and leasing.] The position is responsible for organizing, directing, and/or controlling all aspects pertaining to the system data and functions, with minimal supervision.

The position coordinates changes to the system software with Information Technology and the vendor, in support of campus goals. The incumbent will oversee data and graphical updates with the appropriate internal organizations, manage annual updates and focused surveys, provide specialized analytics and reporting, and train campus users on the system

Work closely with HSC Planning Team, Campus Leadership, and Academic Units to ensure the strategic space planning system (Archibus) is accurate and up to date, supports organizational requirements. Liaison with users, Information Technology and the system vendor to ensure appropriate support of campus needs.

Responsibilities
  • Act as the subject matter expert for the Archibus system. Provide options on how to best facilitate user requests, while not jeopardizing data integrity or software standards. Support initial and ongoing system implementation activities.
  • Develop and maintain standards/guidelines/policies for workflows, role based system access and archiving of data. Become familiar with department business processes and implement procedures that will enhance utilization. Promote the adoption of best practices.
  • Accommodate ad-hoc data requests from campus leadership. Prepare specialized space studies and documentation.
  • Stay current on system software use and offerings. Recommend implementation timing of any offered enhancements and system upgrades. Assist/coordinate the testing, debugging and installation of software and data to support the system.
  • Act as a single point of user contact regarding database content and related application support. Report issues and concerns related to the overall use, functionality and performance of the system to the vendor and IT.
  • Coordinate with and support the graphic and data interfaces with the appropriate University and Hospital departments.
  • Create and update on-line user reference materials and conduct episodic user training.
  • Conduct audits to ensure data integrity; oversees the required annual updating of system information. Conduct field investigations and walkthroughs as needed to validate drawings, space and occupancy assignments. Oversee student workers performing space audits.
  • Provide reporting assistance in the development of research productivity reporting and various utilization metrics.
  • Communicate with department space managers/users and Space Planning Office to confirm changes to space, occupancy and facility design or use.
  • Assure the timeliness and reliability of information gathered on space utilization for the Health Sciences by monitoring data updates and performing limited system updates including new buildings, remodels, new space assignments, moves, reassignments, closures etc…Enter SVP space assignments within the system. Manage requests for system access.
  • Participates on campus committees to establish standards and policies.

Minimum Qualifications
Require a bachelor’s degree in a related area or equivalency
Five years of work experience, three in a related field.
Familiarity with relational databases.
Advanced proficiency in the use of Microsoft Excel – ability to create robust analyses and pivot tables.

Preferences
Graduation from a four-year college or university
Five years of work experience, three in a related field.

Previous experience in a planning environment.
Three or more years’ experience with an Integrated Workplace Management System (IWMS), or occupancy/space planning.
Understanding of facilities, real estate, and construction industry practices in the areas of space planning, occupancy, and allocation management.
Understanding of the different space measurement techniques defined by BOMA, such as gross, rentable, etc.
Knowledge of XML for ad hoc reporting.
Must be a self-starter and possess the ability to take work from start to finish including customer follow-up.
Strong written, verbal and customer service skills are required. Demonstrated ability to build rapport and exercise tact, diplomacy, resourcefulness and the skill to support all levels of the organization effectively.
Superior analytical ability is required.
Work experience in higher education, research or a health care environment is preferred.
Familiarity with space data reporting software is desired. Experience with Archibus is strongly preferred, but will accept familiarity with comparable integrated workplace management system (IWMS) such as FM: Systems, Tririga, Planon, Accruent, Manhattan, or others.
Knowledge of HIPPA and other privacy protocols.
