The Scheduling Coordinator communicates and collaborates with the Central Staffing RN, House Supervisor and each other, assigning the Registry nurses to the greatest need, according to their skill set. Charge nurses are called to determine staffing needs for each four hour increment. The bed meeting is attended and managed four times in 24 hours to discuss the staffing needs of each unit, to determine where the great needs are, and to assign Registry staff and extra staff to the greatest need. Calls are made to ask staff to pick up shifts to meet the needs of their units for immediate needs as well as for future needs. Sick calls are received, coded in Active Staffer and the unit charge nurse is notified. E-mails and schedule changes are managed and completed each shift. Calls are made to inform nurses and PSAs which facility they will be working. Who will float and who will be down staffed according to turn and coding is completed. Assigns the Patient Safety Assistants, prioritizing needs. Needs lists are created for each schedule and distributed to each department so staff is able to pick up extra shifts to meet the needs of their department. Approves nursing payroll. Investigates payroll discrepancies for staff. Follows the schedule of schedules to ensure compliance with schedule deadline requirements. Acts as a resource for management for staffing templates, guidelines, Active Staffer education and time coding issues. Manages FMLAs for all nursing areas, creates and updates schedules.
Must be a high school graduate or equivalent with GED.
Must have 2-3 years of clerical experience with scheduling experience preferred.
Excellent communications skills, customer service, time management, computer experience, ability to work in a collaborative relationship with peers and excellent telephone etiquette.
