Responsibilities

Function of the Position:
The Divisional Events & Volunteer Coordinator responsibilities include creating, managing and organizing details of events which host 30-500+ attendees; identifying and soliciting new in kind sponsors and donors, creating and managing the solicitation of possible new sponsors to be followed up by the Corporate and PR Departments. In addition, this person is responsible for obtaining and integrating volunteers as needed and assisting kettle campaign coordinator with bell ringing groups or volunteers.

The Divisional Events & Volunteer Coordinator will work closely with other staff members of the Development Department to ensure that all events are well organized and successful. The Divisional Events & Volunteer Coordinator will also work with the Divisional Special Events & Christmas Campaign Coordinator for support of their work. Specifically, this person will oversee and manage all aspects of the Divisional Volunteer program including but not limited to recruitment, processing approvals, training, tracking, and managing volunteers. This will include promoting and recruiting thousands of volunteers from corporations, community groups and individuals to ensure corps volunteer needs are met.

Qualifications
Bachelor's degree preferred or a minimum of three years of experience in the field or related area. Prefer candidates who are knowledgeable in implementing and handling a variety of fundraising and volunteer management concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals. Must be a team player who can manage others and prioritize tasks.

Skills Needed:
Must be able to organize and manage many different tasks concurrently. A wide degree of creativity and latitude is expected. MS Office, strong verbal and written communication skills a must. Ability to multi-task and work with deadlines and an outgoing, high-energy personality is preferred. Ability to present to large groups to garner volunteer support for various campaigns. Must possess the ability to work with a variety of databases specific to volunteer recruitment and management. Must be able to lift materials up to 50 lbs. as needed.

Duties and Responsibilities:
Create and manage events designed to provide both sustained and new funding, while integrating volunteers and developing new volunteer opportunities.
Manage and coordinate assigned TSA fundraising events.
Annually review the list of events to both eliminate and add events as needed for expanding event income and awareness.
Ensure professionalism for each event so that we may meet or exceed our fundraising goal and create public awareness for TSA.
Coordinate with the sponsors, and work within assigned budgets and plans as part of a team.
Lead contact person for event venues and coordinate event logistics.
Solicit in-kind gifts such as food & beverages, prizes, auction items, etc. for special events.
Ensure that details such as registration materials, signage, brochures, key messages, etc. are produced and at the event site.
Participate in post-event meetings to review what worked and what can be improved.
Develop and maintain relationships with community organizations to provide mutually beneficial opportunities.
Develop, maintain and manage divisional volunteer webpage content in conjunction with the E-commerce Brand Specialist.
Assist Christmas Coordinator in promoting Bell-ringing volunteer opportunities
Improve processes of communicating and working with volunteers.
Coordinate with Corps volunteer coordinators to ensure they have a process in place to produce and distribute confirmation and “thank-you” communications to volunteers.
Conduct annual corps consultation and training regarding use of volunteers in programs as needed.
Support DHQ departments with screening and placing volunteers in needed positions
Work with the Communications team to maintain a current volunteer presence on the divisional website and assist in the development of volunteer marketing materials
Manage volunteer listings with local organizations and corporations to promote volunteer opportunities.
Create, distribute, and receive seasonally appropriate volunteer brochures/applications to assist corps and headquarters in soliciting volunteers
Develop an appropriate Volunteer orientation curriculum.
Manage the Divisional Volunteer Impact and Register to Ring databases implementation and annual upkeep.
Coordinate all Volunteer Safe From Harm information with the Youth and HR departments
Host volunteers that are at DHQ
Create a Corps and Divisional Volunteer of the Year program that parallels and enhances the Territorial Volunteer of the Year program
Maintain proper volunteer documentation, both in hard copy files and on database for annual Volunteer Office Audit.
Handle volunteer background checks for the division.
