The Automotive Warranty Administrator performs a wide range of administrative and office support duties associated with vehicle warranties. He or she ensures the dealership is paid for all warranty work in an accurate and timely fashion by preparing, flagging, submitting, and following up on each claim. The Administrator coordinates with vendors and manufacturers to ensure prompt receipt of replacement parts, schedules warranty appointments, and educates customers to set expectations. In addition, he or she keeps abreast of all factory recalls, announcements, and procedures.
Candidates must be able to work in a fast-paced and challenging environment handling multiple projects and must have excellent administrative, organizational, and communication skills and strong math and computer skills.
Communicates with customers and service technicians to define the scope of a warranty claim resolution and to set expectations
Utilize technical knowledge of service to verify proper documentation of repairs for warranty coverage and payment
Maintain FCA Smart Warranty requirements on days to submit claims and claims paid on first submission
Prepares, reviews, and processes warranty claims
Resolve all claim corrections and charge-backs
Review warranty repair order written for proper completion, accuracy and legibility according to the policies and procedures
Follows up with each claim to ensure service delivery to the customer and compensation for the dealership
Conduct weekly audits of warranty and schedules, reviewing all old claims, and address any adjustments or write-offs with Service Manager
Assist service consultants and technicians with closing open warrant RO's and warranty questions
Provides administrative assistance as needed
Performs other duties as assigned
High school diploma or GED required; some post high school education or training preferred
Knowledge of automotive servicing or repair highly desired
Excellent communication, customer service, and problem solving skills, including the ability to maintain composure under stress
Excellent math skills, including basic computations (add, subtract, multiply, divide) and the ability to apply concepts of basic algebra and geometry
Accounting knowledge is a plus
Strong computer and internet skills, including Microsoft Office suite
Strong organizational and time management skills with a high level of attention to detail
Helpful attitude and friendly demeanor
Highly professional and dependable
Highly trustworthy and security conscious
Previous CDJR experience a plus!
