Under the supervision and guidance of the Administrative Assistant, performs a variety of complex and confidential secretarial and administrative duties of the organization. Acts as receptionist, screens calls and visitors, and refers inquiries as appropriate. Requires a thorough knowledge of policies, procedures and precedents. Uses independent judgment, initiative and tact when handling a variety of problems. Assists in achieving the goals and objectives of the organization.
II. AREAS OF RESPONSIBILITY:
Answers telephone and directs calls to proper individuals; takes messages for those who cannot be reached.
Forwards mail that does not belong to S.A.V.E.
Keeps a record of staff that are out and reasons why.
Logs all applications into logbook.
Updates forms when needed.
Stamps out-going mail.
Records personal phone calls made.
Sends out authorization releases to all guardians on an annual basis. (This will be mailed in March; the DT Coordinator and Voc. Program Manager will direct what needs to be done.)
Performs other duties as assigned and assists other clerical staff as needed.
III. EMPLOYMENT STANDARDS
High school diploma or GED equivalent.
One year of responsible secretarial/receptionist experience.
Additional specialized secretarial courses preferred.
Basic typing and computer skills including data entry and the use of Microsoft Word.
Correct use of English language, grammar, spelling and punctuation.
Receptionist and telephone techniques.
Basic math skills and monetary record keeping.
Record keeping and filing system principles and procedures.
Good verbal, organizational, and written communication skills.
Operate modern office equipment efficiently, including computer, digital telephone system, memory typewriter, copier/duplicator, and mail machine.
Type 60 words per minute.
