PRIMARY FUNCTION :
Managing all clinical activity within the Department of Psychiatry for Outpatient Services, Student & House Staff Counseling, Specialty Outpatient Services (e.g. Medical Oncology, Transplant, Bariatric Surgery, CPC+ Program) and Inpatient Services as they relate to departmental employees. This position is responsible for the management of the clinical activities of Psychiatry faculty, residents, fellows, non-physician providers and associated support staff based at the Jefferson Main Campus facilities, and Comprehensive Primary Care Plus (CPC+) Programs.

ESSENTIAL FUNCTIONS:
Overall management of Psychiatry & Human Behavior clinical operations.

Manage the department’s charge entry and billing operations.

Provide high-level clinical budgeting analysis and planning as part of the department’s overall budgeting process.

Manage the clinical support staff to include position acquisitions, disciplinary actions, performance evaluations and adherence to all institutional policies and procedures with the assistance of the Clinical Office Manager.
  • Provide high-level, progressive analysis, planning and implementation as it pertains to strategic program development within all clinical divisions as well as strategic joint ventures for the overall development of clinical activities
Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson

OTHER FUNCTIONS AND COMPETENCIES :
Manage and continuously review clinical practice business operations; develop recommendations and support their implementation, to promote efficiency and effectiveness of practice operations.

Oversee and directly supervise departmental billing staff and maintain internal control over timely charge entry, accounts receivable, collection of cash, and billing reconciliation, with reporting responsibilities to Department Administrator, Department Chair and JUP Leadership.

Monitor third-party regulations and legislative developments regarding operational requirements to maintain licensure and participation status.

Monitor third-party regulations and legislative developments regarding coding, documentation, billing and reimbursement to ensure compliance and maximize reimbursement.

Maintain facility and provider compliance with all city, state and federal regulations including the successful coordination of all regulatory on-site surveys.

Recruit new personnel; evaluate all clinic support staff by preparing written performance appraisals and exercise disciplinary action as needed with the assistance of the Clinical Office Manager.

Oversee physician schedules and proper staffing of the clinical and administrative staff including preparation of work and vacation schedules for employees and physicians.

Provide overall direction and supervision of clerical and medical personnel to include new employee and physician orientation.

Provide in-service training for physicians and staff as it pertains to operations and regulatory compliance policies and procedures.

Ensure proper maintenance, assessment and training related to the EHR (Electronic Health Record) within the clinical practice; inform Department Administrator and Chair of all related EHR concerns.

Analyze practice statistics and overall productivity, including information regarding patient visit and procedural volumes, payer mix, collection rations, practice revenues.

Plan and coordinate the start-up of new clinical programs and joint ventures; establish operational and billing processes, staffing, employee recruitment equipment and supervision; oversee the day-to-day function and ensure success of the program.

Maintains competencies in human resource and practice management techniques through continued internal and external education

Bachelor’s degree in business required. Master degree in health care management or business preferred.

EXPERIENCE REQUIREMENTS :
5 years previous healthcare management experience required.

Excellent knowledge of Psychiatry & Human Behavior practice activities, primarily in the areas of regulatory compliance, documentation, coding/billing/reimbursement and practice management preferred.

Exceptional interpersonal and communication skills essential; must be able to operate effectively in consulting role, to achieve results in a complex medical center environment. Problem-solving, consensus-building, and education/training/orientation skills necessary.

Excellent working knowledge of EPIC EHR system & Microsoft Office products preferred
