Administrative Assistant to Vice President

Position Summary

We are looking for a highly professional Administrative Assistant to support our Vice President of Tax Technology. This role will provide administrative and organizational support to the entire Tax Technology department at DMA and responsibilities will expand beyond your typical Administrative Assistant. The right candidate will be very analytical, strong initiative, innovative, and and go above and beyond what is expected to help support the VP, division, and our clients!

Essential Duties and Responsibilities

  • Provide administrative support to the Tax Technology team
  • Prepare, create and update reports or projects as requested by division
  • Maintain Vice President, Tax Technology's calendar and manage scheduling meetings
  • Schedule, organize, and manage meetings and events including preparing materials
  • Provide assistance with strategic initiatives
  • Coordinate and manage travel arrangements
  • Track opportunities and process agreements through OMS (Opportunity Management System)
  • Assist with proposals and agreements for department
  • Approve divisional employee timesheets
  • Proof, edit, copy, scan, and file documents
Non-Essential Duties and Responsibilities

  • Provide backup assistance for processing billings to clients
  • Perform other duties as assigned
Education and Qualification Requirements

  • High School Diploma or equivalent
  • 3+ years administrative experience in a professional business environment
  • Ability to work independently to complete work assignments with minimal direct supervision
  • Intermediate to advanced level knowledge of MS Word, Excel, Outlook and PowerPoint
  • Strong oral and written communication skills
  • Excellent client service skills both internal and external
  • Organization skills with the ability to handle changing priorities and to multi-task
