Duties & Responsibilities

CID has an immediate opening for a temporary Program Assistant. Reporting to the Growth Lab Program Manager the successful candidate will perform a range of operations and program support duties. S/he will interact closely with CID’s senior management, staff and Growth Lab research fellows, and hence must have excellent verbal communication, organizational skills and writing abilities.

The Program Assistant will provide a range of programmatic support, to the Growth Lab program, for the successful completion of a variety of economic development research projects. The position will also provide operations and organizational support to CID staff, serving as a liaison to faculty, fellows, and staff members.

Position responsibilities

Under the guidance of CID’s Growth Lab Program Manager, the primary responsibilities of the Program Assistant include:
Develop system for streamlined annual recruitment periods for Research Staff and Fellow, screen applications and recommend high potential candidates for interviews with researchers, staff and faculty.
Responsible for Research Fellows’ “New Hire” paperwork (incl. drafting of invitation letters, Human Resources and Research Administration Office forms, etc.), and coordinating visa processes for international fellows alongside colleagues at the Harvard International Office.
Responsible for the Research and Administrative Interns’ “New Hire” paperwork (incl. Human Resources forms).
Responsible for successful onboarding of Growth Lab’s incoming research staff, fellows, interns and associates. This includes the maintenance and dissemination of on-boarding materials (both logistical and research based), the coordination of a research orientation to introduce new hires to central research themes as well as research projects, and the coordination of office moves/allocation, telephone relocation, update of online directory and office signage, and acquisition of computers and facilitation of other Information Technology related tasks (email setup, setting up profile on the Growth Lab website, etc.).
Proactively work with the Growth Lab program and senior staff members on tracking end dates of fellows, renewals and successful off-boarding.
Responsible for the completion of all renewal related paperwork (promotions, schedule changes, term appointment extensions, resignations, raises etc.) with Human Resources and the Harvard International Office.
Serve as a principal contact with Harvard International Office and HKS Human Resources.
Provide other supporting activities as needed (managing calendars, composing emails and memos, editing reports, answering correspondence, proofreading outreach materials and proposals, note-taking during meetings).
Successful candidates will gain exposure to economic development issues and work alongside Harvard’s development faculty and a friendly, energetic team in a high-profile, fast-paced office.

Basic Qualifications

Minimum of 1 year of administrative experience.

Additional Qualifications

Bachelor’s degree is preferred. Preferred experience in processing appointments at Harvard University. The ability to handle sensitive data with discretion, contribute to generating new and improve processes, and manage multiple tasks simultaneously. Ability to multitask while maintaining excellent attention to detail. Excellent written and communication skills and proficient at understanding high-level research. Successful candidate must be an independent worker, highly motivated and detail-oriented with strong organizational skills.
