Job Title: Office Manager/Receptionist - Department of Institutional Advancement

Overview:
The Office of Institutional Advancement at Hunter College is seeking a dynamic and detail-oriented Office Manager/Receptionist to join the team. This dual-role position involves overseeing daily office operations while providing exceptional front-line support to alumni, donors, and internal staff. The ideal candidate will be a proactive problem-solver with excellent organizational and communication skills.
Key Responsibilities:
Office Management:
- Oversee and coordinate day-to-day office operations, ensuring efficiency and effectiveness in administrative processes.
- Manage office supplies inventory, including ordering, stocking, and maintaining records.
- Coordinate maintenance and repair requests for office equipment and facilities.
- Develop and implement office procedures and systems to enhance operational efficiency.
Reception and Customer Service:
- Serve as the department's main contact point, greeting visitors, answering phone calls, and handling inquiries professionally and courteously.
- Manage the reception area, ensuring it is well-organized and welcoming.
- Provide administrative support to department staff, including scheduling internal meetings, handling correspondence, and preparing documents.
Administrative Support:
- Prepare and edit documents, reports, and presentations as needed.
- Coordinate and support departmental events, meetings, and conferences, including logistics and materials preparation.
Data and Records Management:
- Maintain accurate and up-to-date records of departmental activities, including alumni and donor interactions.
- Assist with data entry and database management, ensuring data integrity and confidentiality.
Communication and Coordination:
- Act as a liaison between the Department of Institutional Advancement and other college departments or external stakeholders.
- Facilitate effective communication within the department and with external partners.
Qualifications:
- Education: Bachelor’s Degree from an accredited college or university is required.
- Experience: Proven experience in office management and receptionist roles; experience in a higher education or nonprofit environment is a plus.
Skills:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Ability to handle confidential information with discretion.
- Exceptional customer service skills and a professional demeanor.
- Attention to detail and strong project management skills
Working Conditions:
- Full-time position, typically Monday through Friday.
- Standard office environment with occasional evening or weekend events.
COMPENSATION AND BENEFITS
Salary commensurate with education and experience. Range for the position is $55,000 - $65,000
