Employee’s Role: New Patient Coordinator (Inside Sales Representative)
The New Patient Specialist is responsible for matching potential new patients with Deep Centered Mental Health clinicians. You are responsible for managing a pipeline of inbound leads from Google, Meta, and our websites in the form of emails, web forms, and inbound phone calls. In this role, you will be responsible for engaging with prospects, understanding their needs, explaining our offerings, and booking intakes. You will be expected to meet or exceed agreed-upon KPIs, SLAs, and booking and intake quotas.
Reporting To: New Patient Coordination Manager
Job Qualifications:
- A minimum of 2 years of scheduling and intake experience.
- Served in a position that required administrative, operational, and supervisory responsibilities.
- Competence with all technology used in this role.
- Excellent verbal and written communication skills.
- Ability to prioritize projects and maintain strong organizational skills.
- Experience using a CRM or equivalent software for managing a multi-attribution leads pipeline
- Strong written and verbal communication skills
Essential Job Responsibilities:
- Efficiently manage and maintain the scheduling ecosystem to ensure accurate and up-to-date appointment bookings.
- Coordinate appointment scheduling for patients, mental health professionals, and other staff members.
- Provide soft insurance verification guidance to prospective patients.
- Communicate with patients to schedule, reschedule, or cancel appointments as needed.
- Ensure all appointments are appropriately documented in the electronic medical records system, per our policies.
- Collaborate with the administrative team to address any scheduling conflicts or issues.
- Provide friendly and professional customer service to patients, addressing appointment inquiries and concerns.
- Maintain confidentiality and adhere to HIPAA regulations in all interactions and communications.

- Participate in training sessions or professional development activities to enhance skills and knowledge related to scheduling and customer service.
Job Type: Full-time
Pay: From $22.00 per hour
