As an Administrative Coordinator based in Irvine, CA, you will provide administrative support to three senior managers in the Corporate Facilities department who oversee the design, construction and acquisition/disposition of office space and buildings, strategic space planning, occupancy planning, and the company’s extensive art program. Additionally, this role will support with the preparation of PowerPoint presentations and Excel reports, and provide support across the Corporate Facilities team.

Responsibilities:
Coordinating and scheduling complex meetings and events involving participants in multiple locations, compiling meeting agendas, reserving meeting space and arranging all details
Acts as the first point of contact for the team and provides support on special projects as needed
Provides support on various Corporate Facilities initiatives, tasks, and project administration activities globally as needed
Processes construction invoices, maintains and updates databases, and generates reports
Organizes travel arrangements and completes expense reports.

Qualifications:
A minimum of 5 years of previous administrative experience supporting multiple senior leaders in a corporate environment
A self-starter with excellent judgment, exceptional communication skills, strong customer service and professionalism
A strong problem-solver with initiative to work creatively and support managers proactively in a team environment
Experience with electronic calendaring and coordinating complex travel arrangements
In-depth knowledge of Microsoft Office Excel, Word, Access and PowerPoint
A desire and demonstrated ability to learn new technologies and leverage opportunities for process improvements
Feels comfortable with mathematics and numbers
Ability to compile data and complex information into useful summaries and reports
