Responsibilities include scheduling appointments, answering the telephone, setting up new clients and patients, preparation and maintenance of medical records, admitting and discharging patients, filling some prescriptions, over the counter sales, mailings, computer operation, financial transactions, filing, and front office and reception area maintenance. Receptionists will assume the responsibility for acquiring the medical and legal information necessary for the performance of their duties.

Other duties:

  • Make a good first impression on clients, smile, be professional. Set a positive tone
  • Maintain a professional appearance (clothes and attitude)
  • Greet clients and pets warmly
  • Be professional, ethical, and friendly at all times, even if clients are being difficult
  • Answer phones, send faxes, get/sort/deliver mail to addressee
  • Make all appointment and then confirm them the day prior via phone
  • Remind owners to fast patients prior to surgery
  • Contact No-Show appointments to reschedule
  • Make callbacks in a timely fashion to verify response of patients to treatment
  • Promote the practice by attending events, word of mouth, business cards
  • Escort clients into exam rooms
  • If clients are waiting for an extended period of time, offer refreshments, magazines, or other things to make client more comfortable
  • Enter all data into computer for clients as we are a paperless office; scan faxes, paper forms, etc. into computer
  • Serve as initial source of information to clients
  • Mail or e-mail, brochures and other information to prospective clients
  • Understand vaccinations, basic lab tests, common diseases, and pet behavior
  • Know how to use computer software
  • Take payment for services and enter into record
  • Perform day end closeout
  • Assist clients as necessary to make their visits easier
  • Make list for weekly ordering of prescription diets
  • Maintain list of pets needing ultrasound examinations
  • Carry food to cars of clients who are unable to do so
  • Setup new client records
  • Setup/verify accuracy of invoices
  • Maintain cleanliness of the hospital “front”
  • Assist in maintenance of outside of hospital

Receptionist (continued):

  • Take digital photos of clients pets and print copies for all new clients
  • Fill medications
  • Verify medication refills
  • If authorized by doctor, call prescriptions in to pharmacies
  • Assist doctor/technicians with procedures as necessary
  • Understand technician duties
  • Attend staff meetings
  • When in doubt, ask questions
  • Continually strive to improve
  • Make suggestions how to improve hospital protocols
  • Advise veterinarian if the pet or client has a birthday (or other special occasion) if they are in the office for a visit
  • Help veterinarian or other staff members accomplish other tasks to make hospital run smoothly
  • Be familiar with other job descriptions
  • Read, sign, and follow protocols from the employee manual
  • Be environmentally sound when possible

Job Type: Full-time

Salary: $12.00 to $14.00 /hour


  • Veterinary Receptionist: 3 years (Preferred)
  • Customer Service: 3 years (Preferred)
