Our growing clinical stage bio-pharmaceutical company in Waltham is looking for a dedicated Receptionist to handle client-facing duties as well as general office management tasks. When our clients walk into our office, we want them to find a friendly, smiling face and a helping hand. The ideal candidate is very outgoing, a quick thinker, has excellent communication, and multitasking skills, a positive attitude and a strong work ethic.

As our Receptionist, you will be the first point of contact for our company. You will welcome guests and greet people who visit the business. You will maintain office security by following safety procedures and controlling access via the reception desk (monitor log-in, issue visitor badges). You will also coordinate front-desk activities, including distributing/stocking supplies, correspondence, and redirecting phone calls and visitors. You will need to juggle numerous catering and lunch deliveries, and coordinate with administrative staff around set up, and clean-up of those deliveries. You will be responsible for the upkeep and cleanliness of multiple kitchens and meeting rooms. You will need to think on your feet, and problem solve on the fly. You will also be called upon to complete various administrative tasks.

To be successful as a Receptionist, you should care about what you do and love what you’re doing. Have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner. Always keeping an eye on streamlining front office operations. Possess problem solving skills, and take the initiative to solve those problems.

Key Responsibilities

Greets and directs clients in a courteous and professional manner; and notifies the appropriate personnel of visitor arrival.
Serves as primary contact for vendors, visitors, guests, and control badge authorization.
Answer the phone in a timely manner and direct calls to the correct party.
Coordinate meetings, catering and lunch deliveries
Assist in keeping front desk reception well maintained and house clean and professional communal areas ie: lobby, kitchens and conference rooms
Upkeep of multiple kitchens and meeting rooms
Perform ad-hoc administrative duties and projects as needed
Assist Office Manager as needed
Accept deliveries of packages
Other duties as required.

Education, Registration & Certification:
High school diploma with some college or equivalent work experience. BA always nice to have.

Experience:
2+ years’ experience as a Receptionist or Administrative Assistant required.

Skills, Knowledge & Abilities:
Excellent written and oral communication, interpersonal and organizational skills; and meticulous attention to detail;
Exceptional customer service skills and professional phone manner;
Proficient in Microsoft Office Suite, particularly Microsoft Outlook Calendar, Word and Excel;
Ability to create organized systems;
Experience with Smartsheet or willingness to learn;
Working knowledge of office operations and administrative tasks;
Overachieving and take-charge attitude and enhanced work ethic;
Excellent organization and follow through skills; Strong written and oral communication skills;
Sense of humor.

Physical Demands and Work Environment:
This is partly a sedentary role; however, some cleaning and stocking of supplies is required. This would require the ability to lift boxes, open cabinets and bend or stand on a stool as necessary.

This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines as well as standard kitchen appliances.
