Reporting to the Department Director, this position provides administrative support to the Director and to the Department as a whole and is responsible for the smooth, efficient and effective functioning of the Department. In collaboration with the Director, the Executive Assistant to the CEO/CFO may provide supervision and direction on specific administrative projects as needed.
Supervision Exercised: Volunteers assisting department.
Duties and Responsibilities: Assist the Director with typing, copying, distributing and organizing tasks related to the function of the department, in an appropriate customer service friendly manner. Screens and responds to incoming calls for the department. Attend and coordinate meetings. This includes compiling and distribution of notices, agenda’s, statistical data reports, and the recording of the minutes. Maintain confidential staff and clients records. Coordinate Agency wide meeting room requests and daily posting of building activities. . Pick-up and distribute mail to staff, assist with phone system add/moves/changes. Support, and help staff with voice mail set up.
Minimum Qualifications Educational/Training Requirements:
High school diploma with some college or technical training preferred, College course work related to communications, business administration preferred
Previous experience in administrative/secretarial capacity; preferably in setting that included assisting others with multiple inquires.
Knowledge, Skills and Abilities:
Intermediate level Word, Excel, Power Point skills Excellent customer service/interpersonal skills; comfortable responding to difficult callers. Excellent time management skills. Excellent organizational skills. Ability to maintain confidentiality of sensitive security matters. Successfully manage multiple priorities and prioritize multiple requests. Strong detail orientation and excellent written communication skills.
