OfficeTeam is looking for a skilled and personable Sr. Administrative Assistant to work in Mountain View, CA. This is for an ongoing contract with a Monday-Friday from 9AM-3PM schedule.

Job Description:
  • Assist the President and CEO with day-to-day administrative support
  • Act as the office manager for an office of around eight people
  • Responsible for booking and coordinating travel for both the President and the CEO of the company (includes domestic travel only)
  • Handle all incoming correspondence related to technical conferences, trade groups, litigation and research matters
  • Work with staff to help prepare deposition binders, case materials and trial exhibits
  • Calendar all upcoming deadlines in accordance with due dates for expert reports, depositions and trial productions
  • Summarize legal complaints, police report narratives and publications related to automotive and product liability litigation
  • Compile data and perform research for relevant ongoing and recently filed litigation in the automotive and product liability sectors
  • Coordinate active cases and projects using a proprietary case management software-system and foster cooperative relationships with clients through consistent and friendly communication
  • Coordinate with on-site consultants and remote offices to complete projects and research on time
  • Manage, order, and stock all of the supplies needed
  • Vendor management (facilities, equipment, supplies, etc.)
  • Answer and transfer calls; manage email inboxes
  • Make calls and send emails on behalf of management and staff members
  • Assist with ad hoc projects as requested
  • Overtime availability required (as needed) to accommodate deadlines

  • BA/BS highly preferred
  • 3+ years of experience as a Sr. Administrative Assistant
  • Self-motivated, proactive, efficient, and can work independently with little supervision
  • Ability to work with a team in a fast paced environment
  • "Can do" and "no duty is too small" attitude; and willingness to assist wherever needed
  • Excellent multitasking skills, highly organized, and great attention to detail
  • Reliable, flexible, and excellent written and verbal communication skills
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) is required
