General Description: Highly responsible and advanced clerical/administrative duties to include administrative responsibility and support as executive assistant to a member of the Board of County Commissioners.
EMERGENCY RESPONSE/RECOVERY ACTIVITIES: All employees will be required to work before, during, or after an Emergency. During an Emergency employees may temporarily be assigned to work and perform duties outside the normal scope of their position, location and work schedule to fit the needs of the County and its citizens.
Essential Job Functions: Acts as personal executive assistant and administrative aide to the County Commission. Performs duties of an administrative/aide nature for the Commission (generally assigned to one commissioner). Participates in interviewing office visitors, securing details of information from the visitor, and issuing information regarding the services and operation of the County.
Relieves the County Commissioners of routine matters and ensures that a high level of operation is maintained in the BCC office.
Prepares forms and letters for signature. Works independently and also performs basic functions such as composing correspondence, setting up/maintaining files, scheduling appointments and meetings, participating in such meetings when necessary or requested by the Commissioner and taking minutes or notes if requested. Also oversees the Commissioner's calendar.
Coordinates building maintenance and repairs with the Facilities Management Department. Performs all other related work as required or requested by a Board member.
Knowledge, Skills and Abilities: Knowledge of business English, spelling, and punctuation. Knowledge of Commissioners' Office practices and procedures. Ability to prepare documents and compose letters and memoranda. Ability to establish and maintain effective working relationships with employees, the public, and elected officials. Ability to relieve the schedule of the Commissioners. Knowledge of the overall functions and operations of the County departments. Knowledge of the history and growth of Pasco County. Ability to participate in active office management including pro-active responses to voice, written and electronic communication. Ability to operate a personal computer and utilize the related software programs, Ability to work independently, utilize flexibility and, when necessary, perform on the level of an administrative aide to the Commissioners. Ability to organize and assist with coordinating special events. Performs effective and positive public relations work with customers and outside organizations and institutions.
Minimum Requirements: PHYSICAL SKILLS: Ability to communicate effectively using speaking, hearing, writing and vision skills.
EDUCATION, TRAINING AND EXPERIENCE: Graduation from an accredited college or university with an Associate's degree or higher and four years of experience as an administrative assistant is required -OR- Graduation from high school or possession of an acceptable equivalency diploma with at least six years of administrative assistant duties may be substituted for the degree requirement.
LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess a valid driver's license. Must be a State of Florida Notary Public.
