The Nursing Scheduler/Secretary assists the Director of Nursing in the planning, organizing and coordination of the department including staffing, supplies, and medical records functions. Must be able to type fifty (50) words per minute, be proficient with Microsoft products, including Excel. Performs diverse clerical and other related duties as required to assist the department. Confidentiality is a must.
Answers all general nursing phones - gives information, assists in answering questions. Tracks licensing for the nursing staff and credentialing for all licensed physicians. Tracks CPR certificates.
Prepares and organizes schedule, monthly, daily staffing worksheet, payroll sheets and personnel statistics. Responsible for nursing daily payroll sheets. Data entry into Paychex software. Books appointments and transportation for residents.
Prepares and organizes Healthdrive services provided for the residents, i.e. Podiatry, Audiologist, Dentist, etc. Updates, organizes and files progress notes in charts.
Tracks daily census from the supervisor and distributes information as appropriate. Files daily 24 hour nursing reports.
Orders and maintains all nursing office supplies as needed. Assists with marketing needs - brochures, business cards, admission brochures, etc.
Completes daily absence report on Lateness and Absences form and forwards to personnel after review by DON.
Oversees Medical Records during absence of the medical records clerk.
Assists with clerical needs for Director of Nursing, Infection Control, Nursing Supervisors, Nursing Office and other typing as assigned.
Must be courteous, patient and cooperative in dealing with callers, department employees, and residents and their families. Must be very well organized, detailed oriented and flexible.
Requires sitting for long periods of time. Must be able to operate various office machines. Must be able to read and understand verbal and written instructions. May be asked to work overtime on occasion.
