Position Summary and ResponsibilitiesThe Administrative Assistant provides administrative assistance and operational support to the Sociology Department at Vassar College.
Provide reception for students, visitors, and callers;
Respond to inquiries;
Assist in coordinating department lectures and events;
Assist faculty with course preparation;
Enter information into department databases;
Establish and maintain records, such as annual reports, student information, budgetary expenditures, and requisitions;
Schedule appointments and maintaining calendars;
Update course catalog copy and department handbooks;
Prepare and process forms for other departments;
Request routine building maintenance;
Maintain supplies and office equipment;
Assist in coordinating the work of student assistants;
Performs other duties as assigned.
This position is part-time (20 hours/week), Monday through Friday, during the academic year (42 weeks), and is eligible for Vassar benefits for staff employees.
Qualifications: Two to four years of administrative support experience and/or training; Requires knowledge of Microsoft Office (Excel, Powerpoint, Word including graphic layout), Google applications (gmail, calendar, drive, docs, etc.) and internet browsers. Knowledge or experience with Workday preferred.; Excellent written and verbal communication skills and telephone manner are essential; Ability to interact effectively with a diverse community of students, faculty, and staff; Must have a professional, problem-solving demeanor and good judgment and discretion, including the ability to maintain confidentiality; Strong organizational skills, including the ability to effectively manage deadlines and multiple, competing priorities; Must be able to work independently and as part of a team.
