Job Responsibilities

CHECK IN

  • Greet patients making eye contact and with a smile.
  • Upon arrival acknowledge the patient in Allscripts.

Verify identification and PHI authorization

Verify and update all demographic information

Verify and update insurance information

Chart

APPOINTMENTS

  • Retrieve messages and return calls for well appointments.
  • Schedule appointments for patients upon leaving the office.
  • Confirm double and complex appointments for the next business day.

CHECK OUT

Data Entry:

  • Check to see that vaccines were or were not given if there for a checkup.
  • Check with doctor if unsure about vaccines given.
  • Add diagnosis if more than one checked on the fee slip.
  • Accurately enter charges in correct patient’s encounter.
  • Make sure vaccines are keyed correctly (VFC or regular vaccines) with the appropriate administrative codes.
  • Enter no show, forms and medical record charges.

CHECK OUT LATE NIGHT

WORK HOURS

  • All front desk staff is expected to clock in no sooner than five minutes before their shift begins.
  • All front desk staff is expected to work the front desk late shift as needed.
  • In addition, once trained all front desk employees are expected to work a Weekend/ Holiday rotation.

Qualifications

Experience and Education:

High school diploma or equivalent or trade school certification assistant program. A multitask professional with prior experience in performing front office activities in a pediatric setting preferred.

Knowledge

Basic medical front office procedures and extensive understanding of medical insurance and patient confidentiality regulation along with good computer skills.

Abilities

Establish and maintain cooperative relationships with staff members and create a responsive caring environment for patients; make eye contact; respond promptly parents, patients and physicians needs; exercise independent judgment; perform functions that consistently fall within the legal boundaries of profession.

When a conflict has reached an impasse, we ask the Front Desk Manager, Office manager or HR Physician for assistance.

When we make commitments, we follow through in a competent, timely and professional manner.
