The Administrative Coordinator provides support to the Program Coordinators and faculty, and performs a variety of program and office support tasks. This person also serves as the point-of-information for students, faculty, graduate assistants, peer mentors, and guests, answering in-person questions, phone calls and emails. The individual holding this position has the skill set to do accurate, swift computer-based work and data management. In-depth knowledge of the program and college policies, operations and procedures will be needed to conduct responsibilities of this position. This is a part-time, 20 hour per week position with some scheduling flexibility.
Bachelor’s degree preferred, ability to multitask, proficient in Microsoft office products, strong written and interpersonal communication skills
Manage Coordinators and faculty correspondence, appointments and office support
Respond to students, faculty and staff members in person and via e-mail in a timely manner, while referring questions and issues to the appropriate faculty member or Program Coordinators
Assist with planning for program meetings, student orientations, information sessions and program-sponsored events; take minutes for program meetings; be involved in all administrative and data entry aspects in compliance with MPCAC standards including distributing and collecting student surveys and other data collection projects; schedule meeting rooms for program meetings, student meetings and events; reproduce major program documents; and complete the MPCAC Annual Report Online by contacting students, faculty and graduates for specific information requested, and enter data on the website
Assist with generation of course offerings for each semester, and with outreach and ongoing communication with part-time instructors
Maintain office supplies to ensure efficient operation
Undertake projects related to the program’s function as determined by Program’s Coordinators, including data reports
Maintain a list of current students by concentration to optimize communication between students and advisors
Maintain all Blackboard sites for the program, and update other program resources
Assist with Peer Mentoring program and student networking initiatives
Assist the Program Coordinators with other specific tasks, as requested
