The Center for Employment Opportunities is currently seeking an innovative, systems-oriented self-starter with excellent writing skills and administrative support experience to coordinate key components of NYC Crew Works, a transitional employment program that offers those returning from the criminal justice system the chance to build meaningful work experience as they seek long-term, secure employment.
Reporting to the Director of Social Enterprise (NYC), the Social Enterprise Operations Associate (NYC) is responsible for providing daily administrative and programmatic support to over 30 work crew sites and collecting and reporting participant data in our Salesforce system. It also assists in managing relationships with external stakeholders, supporting business development, and conducting government outreach. This position will operate M-F from 9-5 and the first Saturday bimonthly.
The Nitty Gritty
Key responsibilities of the Social Enterprise Operations Associate (NYC) include but are not limited to:
Administrative and Programmatic Support
Provide administrative support to the Director of Social Enterprise (NYC) and Senior Site Supervisors
Manage the Director’s calendar and provide travel support
Create and maintain systems to ensure the efficiency of the Crew Works operation
Ensure timely billing to Crew Works customers by tracking invoices issued, returned, and paid, and conduct follow-up as needed to ensure timely payment
Monitor the utilization of program resources (i.e. gas cards, vehicle mileage, expense reports, etc) to ensure accuracy and strict compliance to agency and funder requirements
Monitor daily crew slots using “daily loop” reports and Salesforce dashboards
Develop a process for managing crew supplies and ensure available resources to meet crew's service needs
Coordinate certifications/trainings (Safety/Asbestos, CPR, Defensive Driving, OSHA, etc) and bi-monthly meetings for Site Supervisors, ensuring notices for certifications/trainings are provided to them in a timely manner
Act as liaison between Crew Works and key supporting departments (i.e. Fleet Management; Data)
Research, Writing, and Reporting
Perform research on NYS-based business development opportunities
Create proposals for RFPs
Create monthly and quarterly reports, including written narratives, as per funder/contract requirements
External Relationship Management
Coordinate worksite visits for new staff, donors, partners and guests as needed
Attend meetings and facilitate contract discussions/estimates with vendors and customers
Support the NYC Director’s government outreach efforts including meeting with key stakeholders, drafting proposal letters, and sending follow-up and thank you emails
Present CEO’s programs and services to interested partners, distribute marketing materials, and respond to email and phone inquiries
Update Business Development tracker and monthly lobbying report for the Director
Who You Are
You have a commitment to CEO’s mission and interest in working in a fast paced, growing results oriented nonprofit environment
You come to CEO with a Bachelor's degree and at least 2 years of related experience; or some college and a minimum of 3-4 years of related experience
You love to write and have excellent interpersonal, verbal, and written communication skills
You’re thoughtful about the details and are passionate about ensuring accuracy of communications and data entry
You’re a strategic thinker and strong prioritizer, with the ability to flourish in fast-paced environments with competing demands
You’re a systems thinker, proactively identifying areas where there is room for greater efficiency and building and proposing workflows and system improvements
You have exceptional organizational skills, with the ability to track and stay on top of multiple projects
You’re very comfortable with technology, including Google Suite, and have experience with fundraising/CRM databases (Salesforce preferred)
Perks and Benefits
The salary for this position is $50,000 - $55,000 annually.
