WestCoast Children’s Clinic is currently seeking a highly motivated, organized and detail-oriented Human Resources Assistant to join our dynamic HR team. This is an entry-level position and includes hands on training towards your professional development in HR. This role provides overall administrative support and coordination to ensure the seamless operations of the Human Resources department, including assistance with recruitment & staffing, onboarding of new staff, benefits and systems maintenance, and other administrative duties. Must be able to juggle multiple projects, priorities and deadlines.

Responsibilities
Assist with database management and tracking of HR processes utilizing shared online resources including spreadsheets (Google Sheets), EHR database and other systems (i.e. Smartsheet)
Input and update new hire, current and terminated employee information in ADP and shared HR systems including E-Verify I9 information
Assist with maintenance, filing, and auditing of personnel files, with a focus on compliance
Organize and update shared HR documents ensuring consistency and relevance with current or developing labor laws, policies and procedures
Assist with spreadsheets (Excel), surveys and audits, report building and data sorting
Support the recruiting and staffing process by: conducting phone screens and reference checks, maintaining communications with candidates, and scheduling interviews. Assist in implementation and launch of Applicant Tracking System
Support the HR Director with administrative and clerical tasks.
Produce correspondence and assist with distribution and collection of employee forms
Guide new staff through the pre-employment process and assist in on-boarding
Assist with the processing of benefit enrollments, changes and terminations
Field and support employee HR requests
Support the tracking and upkeep of employee trainings, annual and probationary performance evaluations, as well as provider credentialing
Special projects and other duties as assigned

Our Ideal Candidate will have:
Bachelor’s or AA degree preferred, ideally with human resources/services or related field, or equivalent experience
Demonstrated relevant experience in human resources and/or general office administration
General admin skills – typing, filing, office machines, phone etiquette
Strong Excel and Word aptitude and familiarity with Mac OS
Flexible, able to learn, adapt quickly, strong attention to detail, and ability to maintain confidentiality and strong organizational skills
Ability to prioritize and manage competing requests and deadlines
Knowledge of and sensitivity around issues of race, class, and ethnicity
Exemplary interpersonal communication skills, experience working with diverse staff, ability to exercise discretion and professionalism at all times
Ability to work well under pressure, demonstrating efficiency in time management, excellent organizational and multi-tasking skills
Able to self-initiate, work independently and collaboratively as part of a team
Salary and Benefits
This is a full-time, hourly (non-exempt) position reporting to the Employee Relations and Benefits Specialist. Starting pay rate $21.25/hour ($44,200 annualized) plus annual performance based comp, comprehensive benefits package and 403(b) plan.
