Executive Assistant to the VP, Corporate Operations

Job Purpose: Reporting directly to the VP, Corporate Operations. The Executive Assistant provides executive support to the VP, Corporate Operations, as well as the Corporate Operations Team. The Executive Assistant serves as a point of contact for internal and external constituencies on matters pertaining to the Office the Vice President, Corporate Operations.

Primary Responsibilities:

  • Coordinates and completes a broad variety of tasks for the VP, Corporate Operations, which may include but are not limited to: compiling documents for meetings, composing and preparing correspondence that is sometimes confidential, and arranging complex and detailed plans, itineraries, and agendas
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Vice President of Corporate Operations, including those of a sensitive or confidential nature, and determines appropriate course of actions, referral, or response
  • Provides a bridge for smooth communication between the VP ofCorporate Operations’ office and external business opportunities
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the VP of Corporate Operations
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting correspondence, corporate organizational documents, contracts and agreements, and other tasks that facilitate the VP’s ability to effectively meet operational goals and objectives
  • Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressures
  • May be asked to assist in other departments and projects; must be a team player and pitch in whenever needed or requested
  • Other duties as assigned

Skills, Qualifications, Knowledge Requirements:

  • Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly and with excellent attention to detail
  • Excellent interpersonal skills with the ability to build relationships with stakeholders, including staff, external partners and investors
  • Demonstrated proactive approaches to problem-solving with strong decision making capability
  • Highly resourceful team-player with the ability to also be independently effective
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Innovative thinker, who actively seeks opportunities to improve performance and proposes solutions
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response


  • 3-5 years of experience supporting C-Level Executives
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, PC and Apple Operating Systems, and social media web platforms, with the ability to quickly adapt to changing technology environments

Job Type: Full-time

Salary: $45,000.00 to $48,000.00 /year
