The Surgical Outcomes Research Center (SORCE) is looking for a Program Operations Specialist working as a Communications and Engagement Specialist, to provide professional-level internal and external communications and stakeholder engagement coordination for programs and projects at SORCE. SORCE is a multidisciplinary research center established by the Department of Surgery supporting research to improve the quality of surgical care at the local, regional and national level. SORCE also collaborates with a variety of academic and community partners and institutions providing expertise in design/deployment of health services and patient-oriented outcomes projects for research and clinical quality improvement. SORCE was established in 2005 with a mission to assess the impact of surgical procedures on patients, society, and the healthcare system and improve the practice of surgery through education, training, and policy initiatives.

The purpose of this position is to provide professional-level internal and external communications and stakeholder engagement coordination for programs and projects at the Surgical Outcomes Research Center (SORCE). SORCE is a multidisciplinary research center established by the Department of Surgery supporting research to improve the quality of surgical care at the local, regional and national level. SORCE also collaborates with a variety of academic and community partners and institutions providing expertise in design/deployment of health services and patient-oriented outcomes projects for research and clinical quality improvement.
The individual in this position will report to a Senior Project Manager. This position is not planned to have supervisory or lead responsibilities.
This position has three major areas of responsibility:
Communications Management (60%): Develop, implement, and evaluate communication and branding strategies both across SORCE and for multiple individual projects and programs, creating and maintaining a variety of communications tools. Support meeting and event coordination for a variety of project stakeholder groups.
Stakeholder Engagement Project Coordination (30%): Collaborate with faculty and senior staff to conduct strategic development, implementation, and evaluation of stakeholder engagement plans across multiple programs and projects.
Administrative Coordination (10%): Provide broad support of communication and stakeholder operations, including tool development, information management, project resource coordination, and internal and external reporting.
This position blends communications and project management, assuming responsibility for SORCE-wide and project-specific communications and stakeholder engagement management. The position requires a strong skillset in each area. This position will work closely with senior staff and faculty to develop and implement communications and stakeholder engagement plans for SORCE as a whole as well as for individual projects as needed.
This position will work across multiple funded and unfunded health services and outcomes projects spanning internal and external sites, multiple investigators, and multiple clinical disciplines. Some of these projects may be related while others may encompass completely unique teams, sites, and/or topic areas. Projects vary in length of time from six months to 5+ years, meaning that this position may be simultaneously working on projects at every stage of life, from development and start-up to close-out.
The Department's Surgical Outcomes Research Center (SORCE) was established in 2005 with a mission to assess the impact of surgical procedures on patients, society, and the healthcare system and improve the practice of surgery through education, training, and policy initiatives. To date, SORCE has received over $86 million in grant support and currently operates an annual budget of over $6 million. SORCE has grown into a multidisciplinary collaboration of researchers from across health science disciplines, including over 25 UW faculty from 15 departments and 4 schools, and clinicians at clinical practice sites across the Washington State. In addition, SORCE provides a collaborative resource base for junior faculty from all Surgical Divisions as well as cross-departmentally. DUTIES & RESPONSIBLITIES:
I. Communications Management (60%)
In collaboration with senior staff, develop and implement branding, communications, and dissemination strategies and work plans across SORCE as a whole.
Manage production and upkeep of all SORCE communications tools (e.g., website, newsletter, social media, graphics and logos, video, media outreach, etc.), regularly reviewing these tools, platforms, and materials to ensure effective content, design, and function.
Collaborate with and provide training and resources to staff implementing communications strategies on individual projects.
Assist staff and investigators in developing project-specific communication tools as needs are identified. Act as super-user for all communications tools and train staff in use as needed.
Effectively translate draft content or concepts into organized and visually appealing content (written and digital).
Regularly scan the SORCE environment to identify new content to publish to communications platforms.
Solicit input from across SORCE project staff for regular content and material updates.
Coordinate the preparation and production of project-specific deliverables, including informational videos, technical reports, and newsletters, and provide final copyediting review.
Coordinate project-specific communication orders (e.g., pocket cards, posters, post-it notes)
Coordinate investigator and team meetings including planning and preparing agendas, slide decks, and other materials; recording and circulating meeting notes; assisting with presentations; and making travel arrangements as needed.
II. Stakeholder Engagement Project Coordination (30%)
Collaborate with study investigators and senior staff in the planning of project engagement activities and deliverables. Understand project aims, timelines and milestones. Independently and effectively conceptualize and translate milestones into a day-to-day work plan.
Drive accurate and timely communication between investigators/researchers and stakeholders. Serve as liaison between and across investigators, study staff, external stakeholders, and funders as necessary to communicate research objectives, priorities, and/or changes. Independently establish and maintain positive relationships with multiple investigators and stakeholder entities.
Serve as primary liaison to stakeholders in assigned projects; develop and maintain positive relationships, share information, and proactively identify and resolve barriers to participation.
Accurately track stakeholders and their participation across multiple projects, programs, and interest groups.
Provide data and information for internal and external reporting about stakeholder participation and programs.
Develop, maintain, and deliver training and educational materials or other communications to effectively educate community members about research concepts and project progress.
Coordinate stakeholder meetings and events.
III. Administrative Coordination (10%)
Train new staff, student assistants, or student interns in work processes and work flow relating to the Communications and Stakeholder teams.
Monitor project resources that fall under communications and stakeholder engagement purview, including purchasing supplies, managing supply inventory, tracking expenditures, and managing payments such as travel reimbursements or honoraria.
Participate in Department of Surgery and/or SORCE research process improvement activities as related to communication initiatives; contribute to efforts by leading task forces or specific efforts; adopt and implement revised practices into projects; and champion research process improvement across the organization.
Education: BS or BA in social or health sciences, English, media studies, communications, public health, health administration, or related fields.
Type and Years of Experience:
Minimum 3 years of experience in positions including responsibilities for journalism, writing, project coordination, editing, graphic design, program or organization communications planning and execution, or other relevant areas, preferably in an academic or healthcare-related setting.
Relevant education may be substituted for some experience requirement. Reviewed on a case by case basis.

OTHER REQUIRED QUALIFICATIONS
Maintains excellent verbal and interpersonal communication skills, writing and language skills, and technical editing skills.
Ability to act independently and see tasks and projects to conclusion without close supervision.
Demonstrated attention to detail and problem-solving skills.
Ability to adeptly manage multiple priorities and timelines and tolerate ambiguity.
Strong ability to engage process stakeholders in both participating and decision-making. Team player with the confidence to take the lead and guide groups (often including higher-level leadership) through a decision process.
Possesses knowledge and experience in the tenets of marketing.
Expert user of standard software, including Microsoft Word, Excel, and Outlook, and presentation software.
Demonstrated ability to learn new software easily, including those for publishing (Photoshop, Illustrator, InDesign, Drupal, other web-based CMS, etc.).
Relevant master’s degree preferred.
Familiarity with health services and health disparities research.
Demonstrated ability and/or certificates of competency in Adobe design suite programs.
Extended education/certificates in graphic design.
Extended education/certificates in social media.
Experience with academic medical faculty.
Experience with medical terminology and basic understanding of research concepts.
