ROLE SUMMARY

The Administrative Assistant will report to the Consulting Engagement Lead of Strategy and Consulting within the Chief Business Office. The primary purpose of this position will be to provide comprehensive day-to-day administrative support to two Senior Directors who are members of the Strategy and Consulting Leadership Team. In this role, responsibilities include (but are not limited to) heavy calendar management, coordination of complex meetings including executive stakeholders, assembly of briefing materials, arranging travel, expense report preparation, and light phone coverage. As a working professional, he/she will be expected to handle tasks independently, proactively, and discreetly. This position will also coordinate with other Administrative Assistants in Strategy and Consulting, as well as across the organization to support the work of the department.

ROLE RESPONSIBILITIES

Provide comprehensive day-to-day administrative support to the Senior Directors:

Core responsibilities include, but are not limited to:
Proactively maintain complex calendar; anticipate conflicts and use diplomacy to resolve issues in advance
Coordinate travel arrangements (ground, air, rail) and provide detailed itineraries
Prepare and submit expense reports for review; perform reconciliations in line with Pfizer policy
Organize teleconferences, WebEx, videoconference and in-person meetings and ensure all technologies needed are available, operational, and all guests are registered
Request and prepare daily briefing materials for meetings in advance, handling confidential information with discretion
Screen and receive phone calls and direct appropriately
Maintain and replenish office supplies as needed
Partner with the Consulting Engagement Lead to facilitate the logistics and planning of meetings and events for Strategy and Consulting (e.g. SC Town Halls, team events, External meetings, etc.)
Manage and update distribution lists, organizational chart, key meetings documents
Assist the Consulting Engagement Lead with the Strategy and Consulting Reward & Recognition Program
Proactively and independently organizes and expedites workflow and initiates follow-up when necessary to ensure deadlines are met
Collaborate with Administrative peers on department-wide initiatives and events as needed
Manage the onboarding and off-boarding of any Strategy and Consulting contractors
Open and track all purchase orders and work with vendors to ensure invoices are paid in a timely manner; liaise with finance as needed
Assist with administrative needs associated with recruiting new team members
Flexibility may be required to occasionally work later or longer hours to accommodate special events/assignments.
QUALIFICATIONS

Education and Experience:
High school degree required; Bachelor’s degree preferred
5+ years administrative experience; experience supporting a senior leader preferred
Must be professional, self-motivated, flexible, open to growth and challenges and a proven team player
Ability to multi-task in a fast-paced dynamic environment while demonstrating a resourceful, positive attitude and a superior work ethic
Excellent attention to detail and highly organized and able to successfully handle simultaneous priorities, with speed and accuracy
A strong sense of personal integrity; able to maintain confidentiality and handle highly sensitive information; demonstrate good judgment and decision-making
Professional and articulate communication skills; able to seamlessly interact with experienced professionals.
Ability to remain calm and professional under pressure
Demonstrated resourcefulness, with ability to anticipate needs, prioritize responsibilities, anticipate and solve problems, and take initiative
Customer service orientation, as we are an enabling function

Technical Skills Requirements:
Excellent technical skills and comfort with new technologies that will enable simplicity and efficiency: PC proficient and expert at MS Office, including Word, Excel, PPT, Outlook, as well as other internal Pfizer systems including WebEx and videoconferencing solutions.
