The receptionist is responsible for routing all incoming calls, issuing PO numbers, preparing mail and coordinating Fed Ex packages on a daily basis. Filing will be performed on a regular basis. The receptionist will prepare monthly safety reports and will be responsible for maintaining workers compensation files. Additionally, the receptionist will perform all general office functions and special projects as needed. Shift needs are 7am-4pm or 9am-6pm Monday - Friday. Weekends off.
Greet and direct all visitors and applicants that come into the office.
Direct and route calls, arrange call backs, and provide backup to other office staff as needed.
Create, maintain and update employee files for the branch.
Ability to work with multiple personalities while maintaining a professional, customer service-friendly, and positive attitude.
Keeps clients, superiors, and peers updated based on information needs.
Assist in coordinating AP related filing.
Assist in coordinating branch safety related filing.
Prepare monthly reports.
Perform other duties associated with the general reception functions, as dictated by Branch Manager/Office Manager/VP of Operations.
Must have a High School diploma or GED. Some College coursework preferred.
Prior experience in business or office duties preferred.
Minimum 1 year experience required in a similar capacity.
Must have intermediate understanding of office procedures.
Proficient knowledge of Microsoft Office Suite (Outlook required).
Excellent verbal and written communication skills
Must be highly organized, dependable, articulate, detail oriented and can function independently.
Possess interpersonal skills to interact effectively with various levels of management and staff
