The Technology Coordinator for A&D Administration reports to the Senior Business Manager, Administration. The Technology Coordinator oversees the A&D desktop computing environment for over 300 staff positions and over 350 workstations. The Technology Coordinator serves as A&D liaison to WU Information Technology (WU IT), and provides direction for future technology projects. This includes managing and prioritizing A&D technology needs and communicating the tasks to WU IT for computer and software support and problem resolution. The Technology Coordinator manages the complete computer hardware and software lifecycle including budget planning procurement, asset management, and replacement, and manages technology projects across A&D. In addition, the Technology Coordinator assists with on-boarding new staff relative to technical needs and providing technology training, and manages the authorization processes for secure access to A&D technology systems and files. The Technology Coordinator also provides additional project support for Development Services. This is not a computer technician position, but a basic understanding of computer technology and infrastructure is needed to coordinate services and assist with project planning.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Coordinates activity between A&D and WU Information Technology (WU IT):
- Serve as A&D liaison to WU IT to establish A&D priorities, escalate issues, and provide direction for A&D’s over 300 staff positions and over 350 workstations.
- Monitor and guide WU IT field tech support including reviewing tasks, resetting priorities, and overseeing deadlines.
- Determine agenda, based on current A&D priorities, and lead regular meetings with WU IT Representatives.
- Represent A&D interests and needs in technology related projects for computer hardware and software in terms of planning, execution, budget development and management, and project management.
- Serve as A&D liaison to WU IT for discussions of emerging technologies, addressing new business needs, and technology security.
- Conduct research and recommend solutions for technology problems and projects.
- Technology Administration:
- Create, review, and maintain support documentation for topics such as VPN, ADIS, Laptops, and instructional materials.
- Update devices (i.e. GPS, flash drives, etc.) with current content and security.
- Manage changes to distribution & shared email lists.
- Obtain appropriate approvals and maintain records associated with the Employee Action Form for staff hires, terminations, and transfers.
- Track hires and termination for student workers and interns in relation to system access.
- Verify that all technology related hardware, software, and access is in place for new hires.
- Schedule and coordinate the move of computer workstations.
- Manage changes to domain access for A&D employees.
- Coordinate FileMaker Pro usage including database access, domain creation for access, authorizing new database creation, and troubleshooting active databases.
- Serve as a first point of contact for technical issues for A&D senior staff.
- Technology Project Management Planning:
- Develop and research budget for A&D desktop technology needs based upon department priorities.
- Research, recommend, and oversee implementation of hardware replacement efforts for PCs, laptops, printers, servers, and peripheral devices.
- Research, recommend, and oversee implementation of replacement and/or additional computer software.
- Research, recommend, and oversee implementation of hardware and software security administration for A&D, including audits and policies.
- Asset Management/Audits:
- Manage procurement, support, maintenance, and usage for A&D technology hardware, accessories, software, printers, and copiers.
- Track existing software and computer inventory with regard to age, location, and user. This includes reviewing and completing usage agreements with new users.
- Manage all aspects of approved mobile devices used by A&D staff including completion of user agreements, coordination of installation and support, and monitoring usage.
- Manage user access and security audits related AIS, HRMS, ADIS, and PCI.
- Perform one-on-one user software training by request.
- Assist with technology-related sessions of A&D staff training, specifically FileMaker Pro training options.
- Conduct first week technology training with new staff covering topics such as passwords, intranet, and getting help.
- Develop training material for and conduct technology overview sessions for new staff.
- Perform other duties as assigned.
Other relevant skills:
- High school plus 4 years of work experience in related fields such as technology process management, technology support, project management, or administration.
- Strong knowledge and proficiency in PC software including Outlook, Windows 7, Office 2010 (including Word and Excel) or later, and database applications.
- Basic understanding of computer technology and infrastructure is needed to coordinate services and assist with project planning.
- Scrupulous attention to detail. Ability to use data to make observations.
- Excellent written and verbal communication skills.
- Ability to work as a team member and to share ideas to improve the quality of work.
- High degree of professionalism and absolute confidentiality in handling information related to the University’s alumni, benefactors and employees.

- Bachelor’s degree in business, mathematics or a technology related field.
- Five years of related work experience.
- Experience in managing a desktop computing environment.
- Experience in purchasing.
- Experience with Filemaker Pro database.
- Prior knowledge of the operations and workings of a Development Department is preferred.
The hiring range for this position is $20.36 to $23.08 per hour.
