The Oncology Data Management team is responsible for data management, patient follow-up, and reporting related to the reporting and maintenance of cancer data in accordance with established guidelines.

As an Oncology Data Specialist II you will utilize your CTR certification, experience with Cancer Registry and data abstraction in your day to day responsibilities. This will be an “in motion” position that will have some work from home abilities.

Job Summary

This position coordinates the Oncology Data Registry and oncology data management program in accordance with established standards, policies, and regulations related to cancer surveillance and hospital cancer programs. Maintains all aspects of the Oncology Data Registry (Cancer Registry) according to state law, the Commission on Cancer (COC), all regulatory standards and reporting guidelines. Using the cancer registry data system, identifies, registers, and maintains the record of every hospital cancer patient. Obtains follow up information on all cancer patients. Coordinates the American College of Surgeons survey and the Annual Report for the hospital cancer program.

Essential Functions

Performs data collection, coding, and abstracting functions in accordance with established guidelines and licensure requirements. Maintains audit and quality assurance processes for case findings, abstracting, coding, follow-up and data processing procedures.

Conducts Patient follow-up. Establishes and maintains a 90% follow-up rate on patients diagnosed within the last 5 years and an 80% rate on all eligible registry patients from registry date. Prepares and distributes necessary follow-up letters on former patients due for contact.

Performs necessary case finding functions to ensure the complete ascertainment of eligible cases. Multiple functions include the capture of pathology/cytology reports from the pathology department, review and categorization of said reports in determining case reportability, maintenance and updating of monthly disease indices.

Assists with requests for registry data; extracts data from assigned company facility database and generates reports as needed. Maintains confidentiality and security of patient data in accordance with regulatory requirements.

Participates in completing the necessary functions to host Cancer Conference (Tumor Boards) meetings within the assigned facility. This includes preparing case histories, ordering pathology slides and radiology reports, preparing meeting notifications, assisting with meeting preparations. Analyses data and prepares reports.

As assigned, conducts in-service educational programs for medical record/cancer registry students, new employees and volunteers.

Minimum Qualifications

Requires an Associate degree in Health Information (RHIT or RHIA) or health related field, including coursework in anatomy, physiology, medical terminology, statistical analysis and disease processes or equivalent working experience

Certified Tumor Registrar (CTR) certification.

quires three or more years of related work experience in medical records, cancer registry and/or experience in an oncology data management position , including coding and abstracting experience. Must have excellent organizational, written and verbal communication skills, and the ability to prioritize multiple work projects and tasks.

Must be able to work effectively with common office computer software, the electronic medical records system and databases, spreadsheet and graphical programs.

Preferred Qualifications

Registered Health Information Technologist or Registered Health Information Administrator certification (RHIT or RHIA) One or more years of Cancer Registry experience

Additional related education and/or experience preferred.
