MWWPR has an exciting opportunity available for an EA/Office manager to truly impact the daily challenges of the entire organization. This role will directly support two practice leaders who are members of the senior leadership of the agency, as well as serve as the Office Manager for MWWPR’s largest office, where over half of our employees report.
To put it bluntly, our ideal candidate is a people person who knows how to get $#*t done. While wearing the EA hat, we need a confident gatekeeper who can simultaneously skillfully manage up- ensuring that your bosses know what they are behind on, who they owe deliverables to, and prioritizing who has to be called back and who can wait. As an office manager, we need someone extroverted and friendly, who thrives on positive interactions with colleagues, and cares passionately about ensuring that our workspace is gleaming, and that all their colleagues have the best possible experience in the office every day.
The ideal candidate will have extensive experience providing administrative support, including heavy calendar management experience for senior executives, travel arrangements including all pre-travel prep and post-travel follow-up, excellent organizational skills, written and verbal communication skills, strong aptitude for Microsoft Word, Excel and PowerPoint, Internet research savvy and well-versed in digital strategies and social networking. They will also be meticulously neat and take pride in everything they do.
Success Factors of the role
This role will be supporting two senior executives by managing and organizing all facets of their day-to-day activities, as well as serving as office manager for our largest office. This requires someone who:
Proven track record of being results-focused in a fast-paced environment
Can manage multiple priorities through to completion, including the ability to juggle multiple assignments and manage demanding, complex schedules
Ability to work independently and complete assignments with initial direction; able to think on your feet
Can “get smart quickly”- develop understanding of MWW’s business and has knowledge of contemporary business procedures
Demonstrates strong organizational and interpersonal skills, and strong attention to detail
Comfortable liaising with and communicating to all levels of the organization, from junior staff up to the executive team
Handles matters with the highest degree of integrity and confidentiality
Respond to requests for information from clients, account staff and other agency employees in a professional, friendly, and timely manner
Understanding and utilization of technology; proficiency with Microsoft Office, internet, social media
2 – 5+ years of experience supporting Senior level executives as an Administrative Assistant / Executive Assistant, including preparing time logs and expenses
