Dental Arts Laboratories, Inc., is a GROWING family-owned business headquartered in downtown Peoria since 1934. We currently have an opening for a full time Assistant Event Coordinator. This opportunity will work Monday-Friday from 8 AM – 5 PM and provides a benefits package including medical, dental, matching 401K, and more!

Job Purpose:

Support the Marketing department through coordination of trade shows and seminar material as well as managing travel arrangements for company personnel.

Primary Responsibilities:

  • Prepare paperwork and display items for all trade shows in attendance
  • Coordinate and ship booth, literature and display models for upcoming trade shows, seminars, or meetings
  • Maintain all necessary items for meetings by having drapes and table clothes cleaned regularly, ordering new plastic displays and drapes when needed, and repairing booth parts when applicable
  • Organize and track registrations for any DAL sponsored event
  • Monitor the inventory of visual aid models and catalog all new models according to system processes ensuring proper check in/check out of any items
  • Arrange and track travel plans including hotel, flights, and car rentals for DAL employees and guests, when necessary
  • Assist with DAL sponsored seminars by overseeing literature, display tables, food, sign-in sheets, name tags, surveys, room preparation and clean up
  • Distribute and update the DAL activity schedule on a regular basis
  • Support marketing department by acting as back up to process fulfillment, answer marketing phone lines, and scheduling Fed Ex customer pickups, when necessary
  • Complete additional administrative tasks including typing, filing, copying, in-house mailings, and so forth as needed

Requirements:

  • Experience working in an office setting
  • Customer service experience with an emphasis on quality and the customer experience
  • 1-3 years of related experience as travel coordinator, marketing assistant, or administrative assistant highly preferred
  • Associate degree in marketing, business, or related field highly preferred
  • Exceptional communication skills on the phone and in person
  • Ability to manage multiple projects and assignments
  • High level of adaptability, flexibility and the willingness to learn new tasks
  • Excellent organizational skills with strong attention to detail
  • Team oriented with the ability to work independently
