Job Title: Receptionist
Location: Irwindale, CA
Provides excellent customer service when greeting and assisting visitors and employees. Answers telephones and provides appropriate information. Performs clerical tasks, as assigned. Works in environment having demanding workload, complex telephone system and/or where information of a more complex nature must be accurately provided to callers.
Key Responsibilities include:
Welcomes visitors to City of Hope. Records non-employee information (i.e. name, affiliation, date and time of visit) and maintains log of all visitors. Provides temporary badges. Notifies appropriate employee of visitor's arrival. Direct visitors or vendors as needed.
Answers telephone(s). Responds to questions about department operations, as appropriate. May discern appropriate information through computer or hard copy files, company or department publications and guidelines and/or personal knowledge.Routes calls for employees, as appropriate.Accurately takes and delivers messages.Maintains log of all calls requiring further action.
Accepts and signs for packages addressed to department.Delivers package(s) to addressee or notifies addressee of package arrival.Delivers daily mail to designated departments.
Performs a variety of routine clerical tasks (may include processing of incoming and outgoing mail, sending and delivering FAX messages, arranging for and maintaining logs for package pickup and delivery, photocopying and collating, etc.), as time permits.
Maintains the building main reception area and ensures it is clean and orderly at all times.
Contact Facilities, Corporate Real Estate, Security, or building management to address any building issues or concerns.
Serves as a backup to the Chief Human Resources & Diversity Officer’s office line.
Maintains master list of all building employees in Outlook.
Notifies police, City of Hope Security and facility employees of emergencies. Report any suspicious activities.
Performs a variety of routine clerical tasks as assigned.
Minimum Education: High School degree or equivalent.
1 year receptionist experience preferred.
Experience managing multiple phone lines.
