Position Summary and ResponsibilitiesReporting to the Data Records Manager within the Operations unit of Office of Alumnae/i Affairs and Development (OAAD), the Operations Assistant has a primary responsibility for imaging documents using a large central database and imaging software. Documents are highly confidential and time-sensitive. The Operations Assistant will have responsibility for records maintenance including dissemination of information to class and club leadership. This position will also assist with data entry projects and provide limited administrative assistance to the Associate Vice President for Operations.
Scan, index and file documents for storage;
Image gift/pledge paperwork daily to ensure the Donor Relations team can acknowledge our most generous donors;
Complete imaging projects from various departments within OAAD;
Perform data entry procedures to update the database and disseminate obituaries and reports to class and club leadership;
Assist with data entry of parent records for incoming students;
Work with the computer information services liaison on Perceptive Content software upgrades as needed;
Assist in retrieving documents for annual audits, requests for documents from family members or community researchers, and/or special projects as they occur;
Contact constituents with donation inquires;
Order office supplies and maintains inventories;
Serve as liaison for telecommunications within OAAD; facilitate phone set-up for new employees, update phone lists and maintain information for conference call numbers;
Organize calendar year-end scheduling for staffing office during the holiday break;
Additional duties such as filing, copying, organizing and assisting with setting up meetings on Google calendar;
Other duties as assigned.
Qualifications: Two to four years of computer, database and technical experience and/or training. Knowledge of Hyperion, Banner, Perceptive Software Inc., and WebNow preferred; Knowledge of Microsoft Word, Microsoft Excel, and the Google Suite of products required; Strong organizational skills and the ability to perform routine tasks while ensuring accuracy required; Ability to exercise discretion, maintain confidentiality, be detail oriented and work independently; Excellent written and verbal communication skills; Ability to manage competing priorities while maintaining accuracy is essential to the smooth operation of OAAD's relationship with its constituents.
