Marketing/Project Coordinator - Capital Markets

Capital Markets is currently seeking a Project Coordinator to support the Houston Office Investment Sales team based in our Houston Post Oak office. The Project Coordinator is responsible for prioritizing projects to meet deadlines in a fast-paced, team-oriented environment.

Position Overview:
Responsibilities Include but are not limited to:
Marketing / deal related responsibilities:
Partner with investment sales team to help achieve team’s production and operational goals
Be able to edit, assist in writing and produce Offering Memoranda, Flyers, pitch material using both InDesign and PowerPoint
Prepare and distribute marketing materials/packages including maps, labeling aerials, team marketing pieces, flyers, and submarket updates, market analyses, etc
Coordinate site plans, maps, videos, photography and printing though 3rd party vendors
Compose and send out email blasts through Eloqua or other external email sites
Produce timely and accurate of word-processed documents (reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)
Maintain all project files, including budgets, production schedules, copies and completed work samples
Manage process of distribution, marketing list updates and activity reporting
Support brokers in utilizing and maintaining CapForce, Outlook and any other sites for the purposes of direct marketing and client relationship development
Assist in Due Diligence Site creation (RCM) and help investors with access and due diligence materials

General administrative responsibilities:
Assist, organize and participate as needed for industry functions or client events
Track and submit payments to 3rd party vendors and invoice clients (Capforce)
Provide support to team in technology applications, i.e. Dealio, CapForce, Outlook, Word, and other company supported programs
Prepare and execute expense reports with receipts on a regular and timely basis
Coordinate travel arrangements
Create and maintain filing system and efficient information retrieval system
Perform clerical duties to include photocopying, mailing, faxing documents, scheduling appointments and coordinating calendars

Additional Responsibilities:
Ensure that all marketing materials present the JLL brand consistently and follow corporate brand standards
Assist with client communications, conferences and events
Participate in best practices conference calls


Bachelor’s Degree or commensurate experience preferred
Workplace experience, minimum of 2 to 4 years in administrative support role required
Real estate background is preferred
Advanced skills in Microsoft Office applications (Word, PowerPoint, Excel),
Current usage and Intermediate knowledge of Adobe Creative Suite (InDesign, Photoshop, Illustrator)

Enable brokers to focus on revenue generating tasks by efficiently handling operations of team
Time Management – use time effectively and efficiently, can attend to a broader range of activities, gets more done in less time than others
Written/Oral communications – ability to speak and write clearly and concisely, get messages across that have the desired effect
