Position: Executive Assistant, Chief Merchandising Officer

Your role at Sephora:
As an Executive Assistant, you will be responsible for anticipating and executing on the intricate, dynamic needs of senior leadership, as well as partnering on special projects and organizing brand events. Reporting to the Chief Merchandising Officer, you will be overseeing a robust calendar, meeting planning and coordination and spearheading event organization and project management, with flawless communication! In addition, you will:

Manage and organize Chief Merchandising Officer’s highly complex and demanding Microsoft Outlook calendar and partner with travel department to ensure smooth execution of travel, accommodations and logistics
Represent executive with excellent and poised communication to both external partners and internal clients
Plan, coordinate and execute a variety of internal and external facing meetings, events and off-sites, which may include cross functional teams and outside vendors and handle all logistical and budget requirements related to the above; events including: brand summits, store director conferences, company holiday party, etc.
Assist with team building activities and culture to serve as the barometer for team morale by attending and facilitating events; activities including off-sites, brand events and brown bag speaker series, etc.
Brand face with our internal merchandising team, supporting makeup, skin, hair categories; as well as liaise with external brand partners to facilitate communication, project completion and event coordination
Prepare meeting and event materials ahead of time when applicable
Screen and route phone calls and emails with the utmost professionalism
Handle highly confidential and/or sensitive departmental matters with discretion and tact
Partner with other Sephora Executive Assistants to provide additional support or back-up when needed

We’re excited about you if you have:
Minimum of 3-5 years of executive administration work experience in a fast-paced environment
Genuine passion for providing outstanding hospitality and service; comfortability event planning, vendor management and negotiation
Comfortable making decision and maintaining high level of confidentiality
Mastery of communication and program proficiency: excellent verbal and written communication skills and strong proficiency with Microsoft Office: Outlook, Word, Excel, and PowerPoint
Ability to deliver and complete tasks against multiple projects and deadlines, while having a strong attention to detail and follow up
Strong interpersonal skills and org savviness; swift ability to partner with high level internal external partners
Demonstrated ability to take initiative and anticipate needs
