Client Operations Associate - Financial Services (Full Time)

We are expanding and looking for a Client Operations Associate to join our team. This position is a critical role in the back-office functioning of our Firm. With responsibility for the day-to-day operational duties of the Firm, the Client Operations Associate helps keep the office running smoothly and ensures that all client paperwork and processing is handled in a timely, accurate, and professional manner.

You are experienced with wearing multiple hats and able to perform diverse administrative functions requiring confidentiality, initiative, and sound decision-making for the Advisor. This position requires excellent organizational skills and the ability to effectively handle multiple priorities. You will need to adapt procedures, processes, and techniques to the completion of assignments and in line with the Firm’s activities and goals.

The successful incumbent will be a self-motivated individual with an entrepreneurial spirit who has a passion for providing support and managing administrative details with precision and ease.

Key Responsibilities:

  • Follows up with client requests
  • Maintains and updates client files and databases
  • Manages and maintains schedules/calendars and client appointments
  • Answers and manages incoming calls
  • Processes new accounts
  • Processes account transfers
  • Processes distributions
  • Processes beneficiary changes
  • Creates client meeting update books and reviews
  • Prepares monthly client newsletter
  • Handles miscellaneous operational activities
  • Develops and maintains written systems of all activities
  • Performs general clerical duties to include, but not limited to: photocopying, faxing, scanning, mail distribution, and filing
  • Performs other duties as assigned

Qualifications and Characteristics:

  • Comfortable working in a professional and smaller company environment
  • Strong PC skills (proficient knowledge of MS Word, Excel, and PowerPoint)
  • Must be an exceptional communicator, both verbal and written and the ability to communicate effectively
  • Ability to prioritize and complete projects and tasks on time
  • Proven ability to set and meet realistic deadlines and achieve successful results
  • You are a self-motivated individual who has the ability to work independently and collaboratively
  • Extremely detail oriented while working under pressure and meeting deadlines
  • Communicate with co-workers, customers, and various business contacts in a courteous and professional manner
  • Investigate, research, and resolve problems or concerns
  • Make rule-based and analytical decisions

  • Prompt / punctual / reliable


  • Bachelor’s degree required
  • 1-2 years related work experience
  • No finance background required
