Job Description

Our client is seeking a self-directed, organized Controller to join its Finance team. Reporting directly to the CEO, this hands on position will be responsible for the oversight of the Company’s finances. You will manage a 5 person team in the delivery of billing, accounts payable, accounts receivable and payroll. This a fantastic opportunity for a professional who thrives in a busy work place, and is well-versed in working closely with senior management.

Responsibilities Include:
Cash Management

a. Review daily banking information

b. Scan for unusual or unexpected transactions

c. Manage available cash in operating account and execute transfers from reserve accounts as necessary

Client Management

a. Review and process client adjustments for cancelled sales and refunds

b. Work with Collections Supervisor on management of client receivable balances

c. Oversight of client collection calls

Vendor Management

a. Review and approve PO amounts, terms, quantities and allocations to various departments

b. Review and approve invoices for payment

c. Initial check signer for checks up to a certain limit and ensure secondary signature for amounts over the limit

d. Review positive pay system as safeguard against fraudulent check transactions

Financial Reporting

a. Responsible for monthly close

b. Integrate sales, accounts receivable, cash receipts, purchases, accounts payable and cash disbursements from RFC Auction Software and Sage G/L package

c. Integrate payroll from ADP into Sage G/L package

d. Obtain reporting required to make consistent allocations among departments

e. Ensure posting of monthly standard journal entries

f. Reconcile cash accounts, accounts receivable, accounts payable (consignors and trade) to the general ledger

g. Determine proper month end cut-off

h. Present financial reports to CEO

i. Prepare for year end review/audit by independent CPAs

j. Review financial results for quarterly estimated tax requirements of the shareholders and Company

k. Prepare non-discrimination testing information for the Company’s 401(k) plan and submit with Fidelity

l. Calculate 401(k) match and profit sharing for the Company’s 401(k) plan

m. Ensure timely contribution to the Company’s 401(k) plan

n. Review inventory for reasonableness and insure proper insurance coverage

o. Prepare operating budget

Reporting

a. Review and file monthly sales and use tax returns

b. Responsible for review and filing of all regulatory reports (tax returns, payroll filings, census, etc.)

c. Prepare information for and oversee 401(k) testing, compliance and preparation/filing of annual Form 5500

Other

a. Participate in Board Meetings to present financials, liaise on corporate strategy

b. Meet with Trustees of 401(k) plan along with Fidelity representative to review plan results, fund performance, review plan costs and discuss recommended changes or amendments

c. Oversight of all lease agreements

d. Oversight of facility maintenance – repairs, contracts, etc.

e. Review of all contracts – vendors, consignors, etc. Work with Company attorneys as appropriate

f. Ensure mortgage compliance requirements are met

g. Ensure all license requirements for the Company and shareholders are met

h. Insurance and risk management

i. Oversight of Human Resources

j. IT Oversight

k. Negotiate Insurance Contracts

l. Manage relationships with the legal teams when necessary

Qualifications

Bachelor's degree in Accounting or Finance
5+ years of accounting and financial experience at the Controller level
Detailed understanding of financial transactions: accounts payable, accounts receivable, billing, & payroll
Ability to interpret financial statements
Strong IT skills
Experience with ERP or financial systems (RFC Auction Software and Sage expertise is a plus)
Excellent analytical, organizational and project management skills
Strong computer skills including proficiency in Microsoft Office Suite applications.
Strong verbal and written skills.
CPA desired
