What is the opportunity?

We are looking for an Executive Assistant to join our team Multi-Asset Solutions team at our corporate headquarters in San Mateo, CA. The Executive Assistant will provide administrative support to several senior leaders of the Multi-Asset Solutions team.

What is the Franklin Templeton Multi-Asset Solutions (FTMAS) group responsible for?

The Multi-Asset Solutions team designs, builds and manages multi-asset portfolio solutions, utilizing a top-down and bottom-up research approach in order to deliver diversified, actively managed investment strategies to institutional and retail clients.

What are the ongoing responsibilities of an Executive Assistant?
Provide administrative support to executives, responsibilities include calendar maintenance, meeting coordination, staff relocations, phone coverage, ordering office supplies, email, correspondences, incoming/outgoing mail, filing, and scanning.
Manage day to day communication between executive and company staff or outside business clients and contacts.
Coordinate complex domestic and international travel plans. Assist with creation of travel binder, including agenda details and subsequent expense report submission process.
Ensure that department invoices and expense reports are processed timely and accurately.
Coordinate legal document signing.
Receive and greet visitors while maintaining the highest level of professionalism.
Assist with planning and coordination of department events and meetings, which includes reserving meeting room, audio/visual equipment, catering and other resources.
Compile and analyze information relevant to department projects.
Prepare spreadsheets, written documents and PowerPoint presentations.
Assist with creation and distribution of communications.
Maintain and track department budgets.
Work with other business units (e.g. Technology, Facilities, etc.) to facilitate system access, physical relocations, etc.

What ideal qualifications, skills and experience would help someone to be successful?

This Position Requires:
At least 5+ years of administrative experience supporting senior management in a
professional environment.
Associates Degree in Business administration or related field or Administrative certification preferred.
Experience working with members of senior management and high-profile clients.
Strong communication skills, both written and verbal.
Solid organizational skills, ability to organize and maintain orderly files and records.
Ability to maintain confidentiality and exercise independent judgment consistent with department guidelines.
Ability to prioritize and perform multiple tasks in a fast-paced environment.
Ability to assess and solve problems quickly with little direction.
Ability to work well under pressure and adapt to unexpected circumstances.
Strong attention to detail; ability to accurately proofread documents.
Strong proficiency with Microsoft Office Applications (Word, Excel, PowerPoint) and SharePoint.
Ability to conduct oneself in a professional manner in a corporate office environment.
Experience in the finance industry or a corporate environment preferred.
