This administrative assistant position, located in San Ramon, California, provides business support primarily to the Business Partner Communications team and Employee Engagement team, and may support other areas of Public Affairs.

Responsibilities for this position may include but are not limited to:

Manage monthly process to gather business performance metrics and post to intranet.
Manage all aspects of quarterly team scorecard process, including compiling data, facilitating reviews, preparing charts/graphs and summarizing performance highlights.
Manage logistics for small and large meetings and events, including room reservations, catering orders, conference call / video conference coordination, agenda preparation, material preparation, etc.
Act as facilitator, timekeeper and recorder at team meetings.
Purchase and stock general office supplies; order ergonomic equipment, stationary, business cards, etc. for all team members.
Submit and track service requests for maintenance and repair of the teams' equipment, facilities and furniture.
Coordinate logistics, like visitor badge requests, planning transportation, etc.
Maintain team Share Drive and SharePoint sites, contact lists and email distribution lists.
Responsible for managing team Purchasing cards (review statements and reconcile office equipment, supplies, registration fees, catering, etc.).
Liaise with Procurement to manage statements of work, purchase orders and service orders, and process invoices for payment.
Make domestic and international travel arrangements for manager.
Support calendar management for manager.
Prepare and submit weekly, monthly and quarterly team administrative reports to manager for review and flag issues / concerns (compliance, time, expense, budget, etc.).
Serve as team SharePoint administrator.
Track team vacation schedules and time sheet coding.
Onboard and off-board team members in a timely manner by leveraging corporate resources (processes, procedures and checklists), ensuring team members have appropriate site and system access.
Assume special project assignments, as requested.
Provide coverage and serve as backup to other administrative assistants, as requested.

Required Qualifications:
HS Degree or equivalent.
3 years of administrative experience or Communications degree with an interest in Communications career.
Excellent interpersonal skills and ability to interact with all levels, including senior leadership.
Strong attention to detail.
Proactive, self-starter with strong organization, problem-solving and written communication skills.
Proficient in Microsoft applications (Word, Excel, PowerPoint and SharePoint)
Ability to handle multiple tasks with competing priorities and effectively plan workload to meet deadlines.
Ability to exercise sound judgment when oversight or guidance is not available.
Collaborative with a demonstrated ability to remain flexible and work effectively under pressure situations.
Demonstrated ability to maintain a high level of confidentiality.
Some overtime and / or flexible hours may be needed.
Communicate in a clear, concise manner with internal and external customers.
Empower and energize others by simplifying complexity, clarifying what needs to be done; and holding self and others accountable.

Preferred Qualifications:
Bachelor's degree, preferably in Business or Communications.
and familiar with eProcurement, Ariba and SAP
experience with Procurement, Gifts Compliance, Travel Expense Accounting, P-Card, etc.
