Position Overview

Vidalta Property Management is looking for a Property Operations Assistant to join our team in Coral Gables, FL. The successful candidate will be a driven self-starter capable of taking initiative and working independently.

A keen eye for detail and organization is essential as this position will be involved in all facets of Property Management. As a Property Operations Assistant, you will work directly for the SVP of Property Operations as well as across the other departments of the company to compile metrics and reporting, generate special projects, provide customer service, and follow up with property teams on many different initiatives.

Although this position entails independent work, this position also involves significant cross-training and mentorship for career development. Therefore, a constant willingness to learn and advance your knowledge are crucial qualities for success.

Performance Objectives

The below represents the primary responsibilities of the position.

  • Generate and distribute scheduled reporting
  • Preparation of weekly and monthly Key Performance Indicators
  • Weekly Activity Reports
  • Monthly Financial Reports * Generate reports at management discretion
  • Customer Service
  • Receive and handle resident calls.
  • Act as point of contact between residents and Property Managers.
  • Monitor and follow up with online reviews. * Organize and track special projects
  • Assist with implementation of policies and procedures.
  • Gather data and perform monthly audits for various areas of the property management operations.
  • Assist in preparing due diligence and takeover for all new and acquired Properties.
  • Assist in creating training materials and deliver webinar and in person training as applicable.
  • Travel to properties as needed, estimated at 15% of the time.
  • Any other items as directed by SVP of Operations.
  • Manage incident claims for insurance purposes.
  • Manage utility charge backs.
  • Assist with the ordering of uniform and marketing collateral materials.

Qualifications/Skills

Education: College education preferred. Experience: Minimum of 3-5 years experience in residential property management or revenue management including electronic distribution.

Special Skills: Must possess accurate, organizational, administrative capabilities as well as possess the skills to do analytical thinking. Working knowledge in Microsoft Office programs (Word, Outlook, and Power Point) is required. Excel experience is a must. Entrata and Realpage program knowledge preferred. Must possess the ability to adapt to a fast-paced environment and manage multiple projects effectively. Proficient reading, writing, grammar, and mathematics skills required. Excellent interpersonal relations and communicative skills, auditory and visual skills as well as a customer-focused service orientation are required. Must be detail oriented. Must be bilingual in English and Spanish.

Physical Functions: Must be able to bend, stoop, sit, stand, walk, reach, lift, pull, push, balance, and lift or carry weight up to 25 pounds.

Licenses\Designations: CAM or CPM designation preferred. Other Requirements: Must be able to pass a drug test, credit check and criminal history background and prior and possess a valid state driver’s license.
