Job Description Summary:
Plans, coordinates and ensures execution of all Conference group related activities and events. The Senior Conference Planning Manager will act as the primary liaison between the client and the staff of the property while focusing on the client’s expectations. Is a role model of and holds employees accountable to following our Mission, Core Values, First Priorities, Policies and Procedures.
ESSENTIAL FUNCTIONS OF THE POSITION
Directs all facets of conference planning
Oversees management of all groups ensuring highest customer service levels are achieved
Ensures department and property goals are achieved through effective communication, leadership and motivation
Promote the property in arranging and conducting site visits by key personnel of assigned accounts for the purpose of planning, organization and coordination of all meeting needs and requirements.
Meets regularly with employee groups to ensure event details are communicated effectively
Meets with department regularly to ensure an open line of communication, encourage employee morale and problem solve any employee issues
Ensures managers and support staff are properly trained and have equipment to execute according to standard
Ensures group billing is accurate.
Stays current with industry trends
Prepares budgets, forecasts and capital requests
Ensures external vendors are used effectively
Lead by example
Promote the property’s vision/mission and service standards on a daily basis
Provide support to all team members on a daily basis
Develop staff within the department for future growth in the industry
Encourage staff to continuously seek self-education on industry standards, new technologies and changing developments in customer expectations
Cross-train staff to build a self-sustaining work group
Complete employee performance appraisals in a timely manner and utilize for feedback, growth and career planning
Maintain staffing levels within budgetary guidelines
Control expenses monthly to coincide with revenues as budgeted
Prepare annual budgets
Reforecast financials for future months
Develop and maintain professional departmental service standards for conference planning and concierge staff
