Wittenberg University is accepting applications for the position of Residence Life Operations Coordinator. This position will provide operational support to the office of Residence Life, including communicating with a variety of constituents including students, parents, colleagues, vendors, contractors, and clients; entering data, updating files, maintaining records, and compiling reports; and coordinating summer conferences. This is a full-time, 12-month, non-exempt position, working approximately 40 hours per week.
Essential functions include but are not limited to:
Coordinate and ensure accuracy of housing logistics during the academic year, summer, and breaks including housing and meal plan assignments, early arrivals, break housing, room changes, housing selection, keys, Room Condition Reports (RCRs), visitor forms, etc.
Oversee coordination of summer conference arrangements, including contracts, reservations, scheduling, billing, and communication with related departments.
Process student account charges and make billing adjustments to student accounts. Maintain and process Room Condition Reports and apply damage charges to student accounts.
Maintain and update budgets, student worker files, and documents as requested for Residence Life. Maintain student personal files (P-files) in accordance with University and FERPA guidelines.
Assist with hiring, training, managing, and paying of student workers.
Provide information and support to students, parents, faculty and staff, and outside constituents, especially as it pertains to residence life, housing, dining, and conferences.
Liaison with other campus offices in performance of daily office functions. Serve on campus committees as needed.
Update departmental information including website and form updates as needed.
Set up and maintain files, correspondence, reports, and budget information for the department.
Maintain electronic calendars for Residence Life staff members and schedule appointments as requested.
Answer calls, respond to electronic inquiries, and provide excellent customer service to guests, students, families, and other visitors; arrange for and schedule appointments, including interviewing callers and making proper referrals; screen visitors and provide information; refer students and parents for additional assistance.
Perform other relevant duties as assigned such as special projects, programs, developmental activities, etc.
A bachelor's degree and 1-3 years of relevant experience. Five years of relevant experience may be substituted for a bachelor's degree.
Competency and experience using Microsoft Office software, specifically proficient in the use of Excel, Publisher, Outlook, and PowerPoint with the ability and desire to learn additional software applications as necessary.
Familiarity with working in a customer service and higher education environment are preferred.
Familiarity with Adirondack, CBORD, Datatel Ellucian Colleague, and JotForm is helpful.
Excellent customer service, time management, and data entry skills.
Ability to work with a variety of constituents, solve problems quickly and professionally, anticipate needs, and communicate proactively.
An understanding of how to prioritize competing demands and timelines is necessary.
Candidate must be available for occasional evening and weekend hours during high volume periods.
Ability to access a variety of properties, including traversing multiple flights of stairs, areas without air conditioning, and uneven surfaces.
Ability to lift up to 50 lbs. with assistance.
Ability to utilize computer, office phone, cell phone, and tablet as needed.
A valid driver's license is required; must meet required insurance qualifications found in Wittenberg Motor Pool policies and procedures.
The pay rate for this position ranges from $17.00 - $18.00 per hour and is based on experience.
