ABOUT THE FAMILY HEALTH CENTER In 1971 Family Health Center was established in a modest converted trailer by a group of community residents to address concerns they had about the lack of access to affordable, quality healthcare for Kalamazoo Northside residents who were struggling with poverty, lack of insurance and a myriad of other socio-economic challenges. Today, FHC operates two mobile units and four locations, including a 75,000 square foot state-of-the-art facility on the site that was once home to the modest trailer. Our mission is to ensure that all members of the community have access to quality, comprehensive, patient-centered healthcare. We envision a seamless health care delivery system that is proactively responsible for the medical, dental and psychosocial needs of underserved individuals, children and families residing in Kalamazoo County.
POSITION SUMMARY The Family Health Center is currently seeking positive, dedicated, well-organized and detail oriented Administrative Assistant to join our Human Resource Team. This position provides a high level of general and confidential administrative support services to the Human Resources, and other leadership teams. Assists and conducts special projects and responsibilities as assigned. Requires a thorough knowledge of Family Health Center's policies, procedures, protocols, and work practices. Maintains the highest level of confidentiality, diplomacy and tact. Strong communication skills are necessary to receive or greet any visitors or patients, for visitors and patients interactions and for fielding phone calls.
POSITION JOB DUTIES
- Responsible for performing a wide variety of administrative support duties such as preparing correspondences, managing assigned administration staff calendars and meeting schedules, preparing for meetings, compiling and issuing accurate and detailed meeting minutes, filing and retrieving electronic and hard copy documents, and other administrative support as assigned.
- Assists with payroll processing, scheduling of clinical support staff and making adjustments to schedules. Requires a high level of collaboration with other team members. Must be able to fluctuate schedule on an as-needed basis to accommodate business needs.
- Supports various projects such as preparation of audit and grant materials, internal and external reporting requirements, and requests for information and data, or other similar projects as assigned.
- Reviews and screens visitors and telephone calls, ascertains visitors or callers’ needs and refers to the appropriate party. Requires a high degree of tact and discretion to refer complex and/or sensitive issues or inquiries to the appropriate FHC personnel.
- Participates in administrative office coverage as necessary. • Sorts and prioritizes incoming mail on a daily basis. • Utilizes the practice management and electronic health records systems in order to assist patients as needed. • Participates in professional development activities to keep current with administrative trends, practices, and productivity tools.
- Foster and maintain relationships with local educational institutions and coordinate flow of externs within the organization. Acts as main point of contact for all externs.
- Coordinates agency staff interviews, responsible to maintain agency personnel files in accordance to checklist. Acts as a second point of contact for agency staff. HR Director must approve all agency staff to ensure approved placement and contract.
- May participate in the recruitment process by posting jobs as necessary on various websites. Reviews resumes and forwards those applicants who meet minimum requirements to hiring supervisor.
- Maintains personnel files for all non-permanent staff including; but not limited to temporary staff, agency staff, externs/interns, and all other non-permanent staff.
- Supports and provides guidance to members of the management team in relation to new employee on-boarding, employee orientation, and applicable employee training schedules.
- Lead role in organizing all new hire orientations to ensure all orientations are professional, seamless and overall positive experience.
- Active and direct role in quarterly leadership activities as assigned by Director of Human Resources.
- Supports Director of Human Resources in employee engagement task force. Coordinates, prepares and implements all Employee Engagement Activities as assigned, including maintaining expense tracker to be monitored by Director of HR.

MINIMUM REQUIREMENTS • Requires an Associate’s Degree in business with emphasis in Human Resources and at least three years administrative or Human Resource experience, or equivalent combination of education and experience • Experience in a healthcare setting preferred.
